Position Summary

This administrative support role is responsible for providing support services for Bellevue College Foundation (BCF) scholarships, programs, and finance staff. This position is responsible for supporting multiple aspects of the foundation including safety net, program and grant, and accounting and finance.

The Foundation Coordinator works in the BCF office and will report to the Director of Scholarships, Grants, and Programs. This position will have primary responsibility for administrative and other key duties to achieve the annual programmatic goals of the Foundation.

Responsibilities include supporting the BCF staff as appropriate in preparing reports, maintaining databases, processing contributions and safety net funds, providing first-tier customer service via phone and email, supporting successful events, and other duties and processes necessary to maintain the integrity of the BCF donor base.

Pay, Benefits & Work Schedule

Position Salary Range: $57,773/year - $80,882/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hires start no higher than $63,550/year based on Bellevue College Exempt salary schedule.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for the overtime provisions of the Fair Labor Standards Act; salaries below the WA State Salary Threshold is eligible for overtime pay.

Institutional Advancement is the external facing division of Bellevue College which includes marketing, web editing, KBCS radio station, public relations, creative services and the Bellevue College Foundation. The Bellevue College Foundation is a nonprofit organization dedicated to supporting Bellevue College and its students. Its mission is to foster educational excellence and student success by generating financial resources, building community partnerships, and facilitating access to quality education. The foundation provides scholarships, funds innovative programs, and supports faculty and staff development to enhance academic experience. It works closely with donors, alumni, businesses, and community members to create opportunities for students and help them achieve their educational and career goals. Through its efforts, the Bellevue College Foundation plays a key role in empowering students and strengthening the community.

Essential Functions

Operational Support and Coordination for Scholarship and Grant Programs

Assist in implementing the foundation's scholarships and programs under the guidance of senior staff including providing support for award decision notifications and ongoing communication with recipients including communications via email, in-person, and online website support.
Support the development and dissemination of application processes, policies, and procedures in collaboration with the Foundation leadership, scholarship committee and campus partners.
Assist scholarship, grant, and program outreach efforts including volunteer recruitment and training opportunities for faculty, staff, students, and community partners.
Coordinate logistics for review and selection processes for scholarships and program opportunities, including scheduling and communications.
Assist with the management of scholarship and grant-related databases to ensure accurate recordkeeping and reporting.
Collect stewardship material and create and complete stewardship reports for donors.
Analyze scholarship recipient data and prepare reporting dashboards and documents to evaluate the success of programs and make recommendations for future changes.
Assist in planning and executing foundation events and activities related to grant programs, scholarships recipients, and Excellence Awards.
Track internal grant reporting deadlines and coordinate with campus recipients to ensure timely completion of Foundation grant requirements.
Maintain awareness of and research national best practices, regulations, and compliance requirements and make recommendations to leadership to support program alignment and updates.
Foundation Accounting Support

Process accounts receivables, deposits, and electronic donations in accordance with Foundation procedures and best practices.
Assist Foundation financial senior staff members with quarterly scholarship payments to the College.
Reconcile Foundation credit cards and entry into MIP accounting software.
Assist with bi-monthly accounts payable process including invoice receipt, entry into accounting software, and check runs.
Assist with quarterly reporting and other budget-related administrative tasks.
Operational Support and Coordination for Safety Net Programs

Assist the Director of Scholarships, Grants and Programs and the Foundation Operations Manager with the administration of Safety Net programs.
Support the Foundation financial senior staff members in administering Safety Net accounts payable awards in accounting software.
Manage communication with campus partners and safety net applicants regarding the status of their application and/or award.
Maintain confidentiality when communicating about and processing federal income tax documentation related to Safety Net.
Other duties as assigned

Minimum Qualifications

Associate degree. Relevant work experience may be substituted for the education requirement on a year-for-year basis.
At least two (2) years of work experience in program administration or administrative support.
Knowledge of basic accounting principles.
Effective written, verbal, and interpersonal and communication skills.
Demonstrated ability to work independently as well as in a team setting with diverse stakeholders.
Ability to exercise independent judgment, decision making, discretion, and confidentiality.
Experience with data entry, generating reports and evaluating and assessing data.
Demonstrated proficient use of computers and software applications, such as, SharePoint, WordPress, and Microsoft Office 365, including Microsoft Excel.
Demonstrated effective time management skills.
Demonstrated understanding of the value of higher education as described in the BC Vision, Core Values, and Mission statements.
Ability to work occasional early mornings, evenings and weekends as needed.

Preferred Qualifications

Knowledge of scholarship or financial aid processes.
Familiarity with state and federal compliance requirements for scholarships and grants.
Proficiency in database management or similar administrative tools.
Familiarity with the Washington Community & Technical College system.
