Position Overview
NeuPath Mind Wellness—an integrative mental health and psychiatric practice—is looking for a Front Desk Receptionist to help us provide unique, transformative mental health wellness experiences for clients at our flagship center in Delray Beach.
The Front Desk Receptionist plays a key client-facing role in establishing and managing our client experience, and is responsible for managing the overall front office and reception function at NeuPath, providing a concierge-level client experience within our center, managing all client communications, and providing general administrative and office support.
This includes performing opening and closing procedures, greeting and welcoming clients, overseeing client check-in and check-out, managing client communications via email and phone, following up with new leads, appointment scheduling, client follow-up, ordering office supplies, and general center upkeep. The ideal candidate will have a strong people and service orientation, be highly organized, detail oriented, and accountable, and be comfortable working in a dynamic, adaptive environment.
Position Responsibilities
- Managing the overall front of house and reception responsibilities
- Managing the NeuPath appointment calendar and scheduling client appointments
- Greeting and welcoming clients into the center upon arrival
- Assisting clients with consent and intake completion
- Communicating client and care needs to medical staff
- Manage check-in and check-out processes with clients, including collecting personal, insurance, and payment information
- Conducting insurance verification and prior authorization follow-up
- Conducting daily follow-up with clients for appointment confirmations and intake paperwork/consent reminders
- Answering inbound phone calls and returning client phone calls in a timely manner
- Managing NeuPath client email and fax communications
- Monitoring and updating CRM and following up on new and existing inbound leads
- Conducting client discovery and educational calls
- Coordinating testing and lab care logistics (e.g. GI Map tests, lab tests, Genesite, etc.)
- General administrative needs including ordering office supplies, maintaining cleanliness of front desk, waiting area, bathrooms, group room, and staff kitchen
Position Skills and Requirements
- Bachelor’s degree from accredited university preferred
- 3+ years of experience in reception, front-desk or related role
- 3+ years of experience in medical or healthcare office
- Exceptional people and service orientation
- Highly organized and detail oriented
- Ability to remain calm in high-pressure situations
- Superb judgment, problem-solving and cognitive skills
- Strong management and business communication skills
- Skilled in Microsoft Office and basic CRM and EHR functionality
Job Type: Part-time
Pay: $15.00 - $18.00 per hour
Expected hours: 8 – 20 per week
