We are looking for a proactive and personable Front Office Coordinator to join our team.
Who We’re Looking For
A reliable, organized, and patient-focused professional who thrives in a fast-paced clinical setting. The ideal candidate will be the welcoming face of our practice, ensuring patients feel comfortable and supported from the moment they walk in to the time they leave. Experience with Dentrix and dental insurance is strongly preferred.
Key Responsibilities
- Greet patients warmly and manage check-in/check-out processes
- Answer phones, schedule and confirm appointments, and manage cancellations
- Verify dental insurance and accurately enter benefit details into Dentrix
- Present treatment plans and explain financial options
- Collect and post payments, manage patient accounts, and follow up on outstanding balances
- Maintain compliance with HIPAA, OSHA, and infection control protocols
- Ensure patient records are complete, current, and confidential
- Support clinical team workflow and ensure a smooth front-to-back handoff
- Keep the front office clean, organized, and ADA-accessible
- Make post-operative follow-up calls to patients
- Request online reviews from satisfied patients to support practice growth
- Assist with general administrative tasks as needed
Qualifications
- 2+ years of front office experience in a dental practice is a must
- Strong knowledge of Dentrix or similar dental software
- Proficiency in dental insurance verification and billing
- Excellent communication, multitasking, and time-management skills
- Commitment to confidentiality, professionalism, and patient care
- High school diploma or equivalent required; college coursework or certifications a plus
Work Environment
- In-person, clinical setting
- Regular use of computers, phones, and office equipment
- May require lifting up to 25 lbs occasionally
- Full OSHA and HIPAA compliance required
