Position Summary:
The Benefits Specialist will play a central role in administering and supporting employee benefit programs across the United States and Canada. This position will focus on the day-to-day administration of benefit plans, including health, welfare, and retirement programs, while serving as the subject matter expert for FMLA, LOA, state-specific leaves (with particular emphasis on California), and the return-to-work interactive process. The role requires precision, discretion, and a strong ability to manage sensitive employee matters in compliance with all federal, state, and local regulations.

Areas of Responsibility:
  • Manage benefits dashboard platforms nationwide, ensuring accuracy, compliance, and efficiency.
  • Review and process new hire enrollments, benefit changes, employee inquiries, and termination requests across the U.S. and Canada.
  • Submit, track, and process Evidence of Insurability (EOI) applications, update ADP with approvals or denials.
  • Process required documents through ADP, payroll, and insurance providers to ensure proper record-keeping and deduction accuracy.
  • Administer 401(k) quarterly enrollments and contribution changes in ADP.
  • Oversee and administer STD, LTD, Basic Life, AD&D, HSA, and nationwide FMLA/LOA management, including coordination with carriers.
  • Serve as the central point for state-specific leave compliance, with emphasis on California FMLA/CFRA leave administration and the stand-alone interactive process obligation.
  • Coordinate and facilitate the return-to-work interactive process, ensuring timely, compliant, and sensitive communication with employees, managers, and HRBPs.
  • Train branch administrators on benefit offerings, processes, and procedures.
  • Provide correspondence and handle mail related to benefits administration as needed.
  • Support annual open enrollment, including employee communication, system updates, and issue resolution.
  • Collaborate with HRBPs to ensure consistency and compliance in benefit and leave administration.


Qualifications:
  • Bachelor’s degree in human resources, Business Administration, or related field preferred.
  • Minimum 5-7 years of experience in benefits administration, including FMLA/LOA management.
  • Strong knowledge of federal FMLA, state-specific leave laws, and California FEHA requirements.
  • Experience facilitating interactive processes and managing return-to-work cases.
  • Proficiency in ADP or similar HRIS/payroll platforms.
  • Exceptional organizational skills with high attention to detail.
  • Strong interpersonal and communication skills, with ability to manage sensitive employee situations discreetly.

Physical Requirements & Work Environment
  • Ability to remain in a stationary position for extended periods while working on a computer.
  • Regularly required to communicate clearly in person, by phone, and by email.
  • May occasionally need to lift office materials up to 20 pounds.
  • Must be able to work in office settings with varying levels of noise, including open office environments and branch locations.
  • Travel up to 10% is required for training, branch support, and meetings.
