Position: Intake and Foster Coordinator (Full-time, 36-40 hours/week, exempt position)
Organizational Background: Texas Humane Heroes (TXHH) is a private, non-profit organization with a vision to build a community where every pet has a lifetime home. TXHH is a dynamic, growth-oriented organization that operates at 10930 E. Crystal Falls Parkway, Leander, Texas.
Position Overview: The Intake and Foster Coordinator plays a vital role in ensuring the smooth intake and processing of animals entering our shelter. This position supports the day-to-day operations of the intake department, working closely with shelter staff, volunteers, animal control, and the public to coordinate the admission of cats and dogs into the facility with compassion, organization, and efficiency.
Organizational Structure: The Intake and Foster Coordinator reports directly to the Intake and Foster Manager.
Key Responsibilities:
- Animal Intake Coordination: Schedule, receive, and process incoming animals (strays, owner surrenders, transfers), ensuring accurate documentation and proper care upon arrival.
- This includes transporting animals to the facility.
- Medical & Behavioral: Assist in the initial intake exam of animals for medical and behavioral concerns and coordinate with the veterinary and animal care team.
- This includes giving vaccines, preventatives, baths, microchips, dewormer, etc.
- Data Entry & Records Management:
Accurately enter intake data into the shelter management software, maintain up-to-date and detailed records, and ensure proper tagging and identification of all animals.
- Surgery Coordination
Schedules all unaltered animals in ClinicHQ scheduling program and ensures all TXHH animals move through intake process in quick, efficient and timely manner
- Public Interaction & Communication: Communicate with pet owners, rescue groups, and municipal agencies regarding animal intake procedures, policies, and scheduling. Provide empathetic support during sensitive intake situations.
- Team Support & Training: Support and train volunteers or new staff involved in intake procedures. Ensure compliance with shelter intake protocols and maintain a clean and organized intake area.
- Foster Program Coordination: Identify animals eligible for foster care, coordinate placement, track foster availability, provide foster homes with necessary supplies and documentation, and act as a point of contact for foster-related intake and follow-up.
Qualifications:
- Prior experience working in an animal shelter, veterinary clinic, or related field preferred
- Strong organizational and multitasking skills
- Compassionate and calm demeanor when handling animals and working with people in emotional situations
- Proficiency in shelter management software (e.g., PetPoint, ShelterLuv, Chameleon) is a plus
- Ability to work weekends, evenings, and holidays as needed
- Comfortable handling cats and dogs of all sizes, breeds, and temperaments
- Excellent written and verbal communication skills
- Commitment to the humane treatment and welfare of all animals
Physical Requirements:
- Ability to lift up to 50 lbs
- Frequent walking, standing, bending, and animal handling
- Tolerance for loud noises, potential allergens, and exposure to animal waste
Other Duties:
- Fear Free certification obtained within 30 days of hire
