The Lead Workplace Coordinator is responsible for overseeing and optimizing daily office operations and supporting facilities management for our client. This role ensures a comfortable, efficient, and engaging environment for all employees and visitors. The Lead Workplace Coordinator manages vendor relationships, supervises workplace teams, and acts as the primary point of contact for the client’s Workplace Experience Manager and the JLL Facilities Manager, supporting both operational excellence and a positive workplace culture.
Primary Responsibilities and Duties
Oversee, coordinate, and support all aspects of office operations, including workplace services and facilities management.
Manage vendor relationships, including performance monitoring and service delivery.
Provide support for meetings and events, including but not limited to assisting with decorating, receiving deliveries, setting up catering, clean-up, and configuring spaces as needed.
Booking meeting rooms for non-event-related requests.
Occasional administrative coverage or support with the event management process.
Daily processing of inbound mail using the client system.
Coordinate with cross-functional teams to unify workplace management efforts and drive continuous improvement.
Provide support and direction to vendors, facilities staff, and service providers to ensure minimal disruption and excellent coordination/execution of work within our offices.
Ensure compliance with company policies, procedures, and local regulations.
Conduct regular site walks of facilities and audits of workplace amenities.
Maintain inventory and ordering of office supplies and base amenities.
Support onboarding and orientation of new employees and vendors, ensuring a seamless workplace experience.
Act as a point of contact and collaborate with our client’s Workplace Experience Manager.
Assign desks as requested.
Respond to and resolve workplace requests, escalating as necessary according to established procedures.
Collaborate with the facilities manager to plan budgets and small project requests.
Review vendor service reports, validate completion of work, and review invoices utilizing the CMMS platform Corrigo.
Required Qualifications
Bachelor’s degree or equivalent experience in facilities management, business administration, hospitality, or a related field.
3+ years of experience in workplace coordination, office management, facilities management, or a similar role.
Demonstrated experience supervising teams and managing vendors.
Strong knowledge of facilities and workplace, and operational best practices.
Proficiency in Google Workspace (Sheets, Docs, Slides, GMail, GCal).
Preferred Qualifications
Experience in a corporate real estate, property management, or professional services environment.
Experience with CMMS platforms such as Corrigo and a ticketing system, Jira.
Experience with Slack for communication and managing channels.

Estimated total compensation for this position:
75,000.00 – 80,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
