The Legal Secretary keeps legal cases organized by establishing and organizing files, monitoring calendars, meeting deadlines, documenting actions, inputting information into file database and case management software, and confirming case statuses with attorneys. The successful Legal Assistant accomplishes goals by accepting ownership for accomplishing varying tasks as assigned by multiple attorneys and paralegals in this fast paced and busy law firm.
Responsibilities and Duties:
- Completes administrative duties such as making copies, typing documents, responding to emails and telephone calls, and preparing mail.
- Drafts and files basic legal documents and correspondence using proper templates. Organizes and maintains documents in paper and electronic filing systems, making them available and easily accessible to attorneys.
- Assists in scheduling depositions, preparing and forwarding summonses and subpoenas, preparing and serving discovery requests, generating status reports, and files pleadings and other documents with state and federal courts.
- Corresponds with counsel, courts, and clients. Coordinates appointments, including logistics if necessary.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinates case preparation.
- Maintains calendars, schedules, and contact lists for several attorneys.
- Maintains client confidence by keeping client/attorney information confidential.
- Other duties and tasks as assigned by paralegals and attorneys.
Skills and Qualifications:
- Proven working experience as a legal assistant or legal secretary or ability to demonstrate quick learning and work in a fast-paced environment.
- Familiarity with law, legal procedures and protocols, and court system or ability to demonstrate the prompt acquiring of new skills.
- Working knowledge of case management or other types of software.
- Computer literacy and excellent typing skills.
- Proficiency with Microsoft Word.
- Transcription and dictation experience is a plus
- Ability to juggle multiple activities and work under pressure.
- Time management skills and attention to detail.
