Administrative Assistant – Front Office & Attendance Clerk

General Role Summary:
The Administrative Assistant serves as the first point of contact in the school office, providing clerical and administrative support while managing attendance records and supporting school operations. This role plays a vital part in ensuring a well-organized, welcoming, and efficient front office environment that upholds the values and standards of LISA Academy.
Primary Responsibilities:
Front Office Duties:
Greet students, parents, staff, and visitors warmly and professionally
Answer and direct incoming phone calls; relay messages as needed
Maintain a clean and organized front desk and reception area
Process and distribute mail, packages, and school correspondence
Manage visitor sign-in/sign-out procedures and issue visitor badges
Assist with preparation for school events, meetings, and communications
Support staff with photocopying, filing, and data entry tasks
Maintain confidentiality with sensitive student and personnel information
Assist with health office visits (minor first aid or nurse referrals, if applicable)
Attendance Duties:
Monitor, record, and report daily student attendance in the Student Information System (SIS)
Communicate with parents regarding student absences, late arrivals, and early checkouts
Collect and file absence notes, doctor’s notes, and excuse forms
Generate daily, weekly, and monthly attendance reports for school leadership
Support state and district reporting requirements by maintaining accurate attendance data
Alert administration to patterns of excessive tardiness or absenteeism
Administrative Support:
Provide scheduling and communication support for the school principal and leadership team
Maintain school-wide calendars, staff rosters, and basic supply inventories
Assist with onboarding procedures for new staff (badges, room access, basic protocols)
Prepare documents, letters, and reports as directed
Help coordinate substitute teachers and relay schedules as needed
Preferred Qualifications:
High school diploma or equivalent (Associate’s degree or higher preferred)
Previous experience in an office or school setting
Strong communication and interpersonal skills
Proficiency with Microsoft Office, Google Workspace, and student information systems
Ability to multitask, prioritize, and maintain attention to detail
Bilingual (English/Spanish) a plus
