We are seeking a highly organized and detail-oriented Logistics & Purchasing Coordinator to oversee and manage all purchasing and international logistics operations, with a primary focus on procurement and container shipping from China. The ideal candidate will ensure smooth coordination of POs, container bookings, documentation, and communication with overseas suppliers to optimize efficiency and cost-effectiveness.
Key Responsibilities:
- Purchase Order Management:
Create, issue, and track all Purchase Orders (POs) to Chinese suppliers. Ensure all POs are accurate and acknowledged in a timely manner.
- Logistics Coordination:
Handle all container bookings including scheduling, consolidation, and ensuring shipments meet cut-off dates. Coordinate with freight forwarders and shipping lines.
- Supplier Communication:
Maintain daily communication with overseas suppliers to confirm product readiness, documentation accuracy, and container load plans.
- Container Optimization:
Ensure containers are fully and efficiently loaded to maximize space and reduce shipping costs.
- Cost Negotiation:
Negotiate shipping rates and terms with forwarders and logistics providers to achieve the best possible pricing.
- Document Management:
Ensure all shipping and customs documentation (commercial invoices, packing lists, BOLs, etc.) are correct and submitted on time.
- Tracking & Reporting:
Monitor and track shipments from origin to destination. Provide regular updates to relevant departments. Maintain accurate records of deliveries, shipping costs, and inventory flow.
- Cross-Functional Coordination:
Work closely with the inventory, sales, and warehouse teams to forecast needs, manage timelines, and prevent stockouts or overstocking.
Required Qualifications:
- Proven experience working with suppliers in China and understanding of cultural and communication nuances.
- Strong knowledge of international shipping processes, container booking procedures, and cut-off timelines.
- Proficient in Microsoft Excel and Microsoft Office Suite.
- Experience working with freight forwarders and knowledge of Incoterms and international trade documentation.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Excellent communication skills, both written and verbal.
- Familiarity with inventory systems or ERP software is a plus.
Preferred Qualifications:
- Experience in supply chain, logistics, or purchasing roles (especially in e-commerce or manufacturing sectors).
- Knowledge of HTS codes, customs clearance, and import compliance regulations.
- Basic understanding of cost analysis, landed cost calculations, and vendor performance metrics.
