We’re now hiring a Med Spa Receptionist to be the face of our practice and a key player in our client experience.
Job Overview:
As our Front Desk Coordinator, you’ll be responsible for managing client communication, optimizing the daily schedule, and ensuring smooth operations at the front desk. You’ll be the first and last impression our clients have—your warmth, professionalism, and attention to detail will make a direct impact on client retention and satisfaction.
Responsibilities:
- Greet clients warmly and check them in/out professionally
- Answer phone calls, texts, emails, and DMs promptly and with care
- Manage scheduling to ensure efficient, accurate bookings
- Upsell services, retail products, and seasonal promotions
- Confirm upcoming appointments and follow up on no-shows
- Handle payments, invoicing, and daily cash reconciliation
- Support team with administrative tasks and inventory restocking
- Maintain cleanliness and order at the front desk and lounge area
- Document client preferences and ensure CRM is always up to date
- Assist in creating a seamless, high-end guest experience
Qualifications:
- 1+ year experience in customer service or front desk (spa, salon, or healthcare a plus)
- Excellent verbal and written communication skills
- Strong multitasking, organization, and problem-solving abilities
- Comfortable with booking software, POS systems, and social DMs
- Positive, polished, and professional demeanor
- Sales or retail experience is a major plus
