Responsibilities:
The Medical Records Specialist is responsible for maintaining the integrity, confidentiality, and accuracy of patient health records in compliance with HIPAA regulations, company policies, and relevant state and federal laws. The Medical Records Specialist ensures prompt responses to medical records requests in accordance with state and federal laws. This role also assists with external payor audits and reviews by managing and responding to medical records requests from payors and regulatory agencies.
- Process patient medical record requests in accordance with HIPAA and internal guidelines, ensuring compliance.
- Respond to inquiries from patients, providers, legal representatives, and third parties regarding medical records.
- Collaborate with various internal departments (such as Legal, Medical Coding, and Revenue Cycle Management) to research and address medical record inquiries.
- Coordinate and fulfill medical record requests related to external payor audits, including those from commercial payors, Medicare, Medicaid, or Recovery Audit contractors.
- Work with Revenue Cycle Management, Compliance, Clinical Operations, and Legal to ensure timely, accurate, and complete audit responses.
- Track and document audit-related activities to support internal reporting and adherence to response timelines.
- Maintain or develop new record retention policies and procedures, as needed, to document retention requirements in accordance with state, federal, or internal guidelines.
- Other responsibilities as requested.
- Assist the External Payor Auditor Manager by collecting and reviewing medical records to ensure completeness and compliance with external payor audit criteria.
Education/Experience:
- Bachelor's degree (B.A.) from a four-year college or university; or equivalent combination of education and experience
- 2+ years in medical records or health information management
- Prior Healthcare Experience
Knowledge/Skills:
- Knowledge of HIPAA and medical terminology
- Professional handling of sensitive information
- Strong communication skills and attention to detail
- Analytical and organizational proficiency
Software:
- Proficient with Microsoft Office and Adobe Acrobat
Willing to travel up to 25% for business as needed
