Office Administrator
Overview
MAS Services is looking for a proactive and detail-oriented Office Administrator to keep our office running smoothly and support our accounting team with essential bookkeeping tasks. This role is ideal for someone who enjoys staying organized, working across departments, and being a central part of a dynamic office environment. You’ll report directly to our Chief Administrative Officer and play a key role in day-to-day operations.
Location & Compensation
This is a full-time, in-office position based in Coral Gables, Florida. MAS Services offers a flexible work environment, which can be further discussed with the right candidate.
· Salary Range: $50,000–$70,000, depending on experience
· Bonus: Eligible for an annual performance-based bonus of up to 5% of base salary

What You’ll Do
Office Operations
· Keep the office organized and running efficiently each day
· Manage supplies, coordinate repairs, and handle incoming/outgoing mail
· Schedule meetings and appointments and help keep calendars on track
· Welcome guests and create a professional, friendly atmosphere
Administrative Support
· Assist with day-to-day administrative tasks across departments
· Help draft and edit documents, presentations, and reports
· Maintain company records and databases
· Support the planning and preparation of internal meetings and team events
Bookkeeping & Finance Support
· Perform account reconciliations and assist with accounts payables and receivables functions
· Prepare and process invoices, purchase orders, and expense reports
· Help compile financial statements and reports
Compliance & Reporting
· Support internal processes to ensure policies and procedures are followed
· Assist in the preparation of documents for audits and tax filings
· Generate and compile reports for leadership as needed
Qualifications
· Associate’s degree in Business Administration, Accounting, or a related field (preferred)
· 3+ years of experience in office administration and basic bookkeeping
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting tools like QuickBooks or Sage
· Excellent time management and organization skills
· Clear communication and a positive, team-oriented attitude
· High attention to detail and respect for confidentiality
· Ability to work independently and collaborate across teams
Preferred Skills
· Experience in an administrative services company or similar industry
· Familiarity with ERP systems or financial software
· A working knowledge of GAAP and general accounting standards
