Duties:
- Plan, organize, and execute various events such as weddings, corporate meetings, fundraisers, and social gatherings
- Coordinate with clients to understand their event requirements and preferences
- Select and book appropriate venues for events, such as hotels, banquet halls, or outdoor spaces
- Arrange catering services and menu selection to meet the needs of the event
- Manage event budgets and ensure all expenses are within the allocated budget
- Coordinate with vendors and suppliers to ensure timely delivery of services and products
- Oversee event setup, including decorations, seating arrangements, audiovisual equipment, and other necessary items
- Ensure smooth execution of events by managing event timelines and resolving any issues that may arise
- Provide excellent guest services by addressing any concerns or special requests during events
· the Events Coordinator helps with the scheduling, accepting deposits planning, coordination, and successful execution of all events, private facility rental events
· Answers phones, directs calls to appropriate individuals, and prepares messages
· Setup up phone calls and tours for potential clients
· Act quickly and accurately to resolve guest, employee or vendor problems that arise prior to and during each event
· Coordinate and assist with setup/breakdown of all Events supplies, including the return of items to storage areas after on-site in coordination with staff
· schedule FOH and event staff, assist HR director with payroll issues
· Maintain records in the event management, bed and breakfast and POS software systems
· Provide customer service to bed and breakfast guests and assist with Bed and Breakfast check in/out
Experience:
- Previous experience in event planning or management, preferably in the hospitality industry
- Knowledge of catering operations, banquet services, and hotel event management
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication and interpersonal skills to interact with clients, vendors, and team members
- Attention to detail to ensure all aspects of an event are properly executed
- Ability to work under pressure and meet tight deadlines in a fast-paced environment
Note: Experience in fundraising events or restaurant event management is a plus.
