What You’ll Do:
As our Office Assistant, you’ll be the first point of contact — setting the tone for the client experience from the moment they walk in or call. You’ll wear many hats and play a key role in keeping the office running smoothly and efficiently.
Key Responsibilities:
- Greet all clients, visitors, and staff with warmth, professionalism, and empathy
- Answer and route incoming calls in a friendly and efficient manner
- Schedule appointments and maintain calendars for multiple providers
- Perform accurate data entry and assist with maintaining client records
- Prepare weekly reports and help track metrics as needed
- Manage office supply inventory and order replenishments as needed
- Maintain a clean, organized, and welcoming front office space
- Use Microsoft Office Suite daily — Excel and PowerPoint proficiency preferred
- Uphold company policies while showing empathy to individuals in need
- Support team efforts, adapt quickly, and maintain a positive, solutions-focused attitude
Who You Are:
- Minimum 1 years of experience in an administrative or front office role
- A people person — friendly, approachable, and great with communication
- Experience in the mental health or medical industry is highly preferred
- Detail-oriented and capable of juggling multiple tasks at once
- A fast learner who’s eager to contribute to a growing team
- Reliable and punctual, with a strong work ethic
- A team player who values collaboration and professionalism
- Proficient in Microsoft Office (Excel & PowerPoint: above average skill preferred)
