Operations Assistant
Part-Time 20 hrs per week ( 4 hours per day- 5 days per week)
Location: Hackensack, NJ (In-person)

Position Overview: The Operations Coordinator plays a crucial role in supporting the smooth functioning of BVMI. This position is responsible for overseeing various administrative and operational tasks to ensure efficiency and effectiveness across different departments.
Key Responsibilities:
- Scheduling for Volunteers and Practitioners:
- Coordinate volunteer schedules for the clinical calendar, ensuring adequate coverage and efficient use of resources, including nurses, scanners, and interpreters.
- Schedule shifts for practitioners based on availability and patient needs, maintaining a balanced workload as needed.
- Administrative:
- Assess inventory levels for clinical operations and office supplies, anticipating needs and replenishing stock as necessary.
- Research vendors, obtain quotes, and place orders for supplies, ensuring cost-effectiveness and timely delivery.
- Coordinate with staff members to determine specific requirements and preferences for supplies, facilitating smooth operations.
- Run errands for mailing and other necessary tasks as needed.
- Update the OSHA binder and ensure compliance with relevant regulations.
- Clinical:
- Responsible for the creation, updating, and maintenance of clinical forms, including converting medical history forms to PDF.
- Act as a backup resource for troubleshooting all telehealth programs.
- Cross-Functional Collaboration:
- Work closely with other staff members and departments to support organizational goals and initiatives.
- Collaborate with volunteers and interns to delegate tasks and leverage additional support for operational activities.
- Participate in staff meetings, training sessions, and strategic planning discussions to contribute ideas and insights.
Qualifications:
- High school diploma or equivalent required; bachelor's degree in a relevant field preferred.
- Previous experience in scheduling, financial management, or procurement is advantageous.
- Strong organizational skills with the ability to prioritize tasks and manage competing demands effectively.
- Proficiently manage multiple tasks within a fast-paced and demanding environment.
- Attention to detail and accuracy in handling financial transactions and inventory management.
- Excellent communication skills with the ability to collaborate with various management personnel.
- Proficiency in computer applications such as Microsoft Office/Google Docs and willingness to learn new software as needed.
- EMR experience preferred (Athena).
- Must have a valid driver's license and reliable vehicle; mileage reimbursement is provided.
