Position Overview
The Front Desk Coordinator serves as the director of first impressions for our practice, representing the brand with professionalism, warmth, and efficiency. This role requires a balance of customer service, sales, and administrative expertise to ensure each patient feels valued and supported from their first call through their in-office experience. We believe that our industry offers transformational experiences and we are looking for someone who can make people feel good about themselves in every interaction. We are a small office and so it it key that the person in this position works well with the team and brings the same positive support to other office staff that they bring to patient experience. We do have a lot of Spanish speaking clients and being bilingual would be a big plus for an applicant.
Key Responsibilities
- Greet and welcome all patients and visitors with professionalism, ensuring a positive and consistent first impression of the practice.
- Answer phones, respond to inquiries, and schedule appointments while building rapport and fostering long-term patient relationships.
- Educate callers and patients on available services, treatments, and products, while identifying opportunities to promote and sell appropriate options.
- Accurately manage patient information in the EMR system, demonstrating strong technical aptitude and efficiency.
- Coordinate front office operations on busy clinic days, including check-in/check-out, collecting payments, and supporting smooth patient flow.
- Provide pre-visit information and post-visit follow-up to enhance the patient experience and increase retention.
- Collaborate with the clinical and management teams to support patient care and business goals.
- Maintain a polished, organized, and hygienic front desk and lobby environment that reflects the quality of the practice.
Qualifications
- Proven background in customer service and sales, preferably in a healthcare, spa, or luxury service environment.
- Strong interpersonal and communication skills with the ability to build trust and relationships quickly.
- Tech savvy, with the ability to learn EMR and scheduling systems efficiently.
- Highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced setting.
- Professional appearance and demeanor aligned with the brand image of a premier medical and aesthetic practice.
Position Impact
