The Hampden County Sheriff’s Office is seeking an enthusiastic, capable, and experienced Payroll Coordinator to join our dynamic team. In this vital role, you’ll be at the heart of our operations – ensuring employees are paid accurately and on time. You’ll be responsible for the preparation, calculation, verification, and timely processing of payroll, working with our Administration team at our Main Institution in Ludlow, Massachusetts. It’s a position that combines precision, problem-solving, and people skills in a mission-driven environment.
Hours: Monday-Friday, 7:30 a.m. – 3:30 p.m.
(Must be flexible to work other shifts including weekends and holidays as needed)
What You’ll Do:
- Compile and process time and attendance data from multiple sources
- Prepare payroll and maintain related personnel records
- Calculate wages and deductions using HRCMS and the MOBIUS system
- Work closely with department heads to verify payroll details
- Answer employee payroll inquiries and support staff with self-service systems
- Interpret collective bargaining agreements to ensure proper compensation
- Record updates to employee data, such as promotions, leave time, and pay changes
- Conduct audits, process bonuses, and prepare reports for internal and regulatory use
- Stay current with system updates and complete necessary payroll training
- Assist in onboarding and orienting new hires on payroll systems and processes
What We’re Looking For:
- Strong attention to detail and excellent organizational skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Solid understanding of payroll systems and timekeeping processes
- Willingness to learn, adapt, and implement new payroll technologies
- Effective communicator who can collaborate across departments
- Prior payroll or finance experience preferred; government or unionized environment experience is a plus

REQUIREMENTS
- Associate’s degree in business preferred, or high school diploma, with a minimum of three to five years of experience in payroll, data entry and processing
- Strong working knowledge of computer database spreadsheets and Excel
- Working knowledge of Windows-based office applications including Microsoft Office
- Working knowledge of Massachusetts Human Resources Compensation Management System preferred
- Considerable knowledge of bookkeeping methods and principles
- Knowledge of human resources policies and procedures and their applicability to payroll operations including bargaining unit, compensation, benefit packages, recruitment and sick leave policies and procedures
- Ability to prepare operating and statistical reports
- Maintain known and accessible telephone number
- Valid driver’s license
