We are seeking a highly skilled and detail-oriented Billing & Payroll Manager to oversee all financial operations, including billing, payroll, office management, and CFO-level duties. This role requires a strong background in financial management, compliance, and administrative leadership to ensure smooth day-to-day operations. The ideal candidate is a strategic thinker with exceptional organizational skills and the ability to manage multiple responsibilities efficiently.
Key Responsibilities:Billing & Payroll Management:
- Oversee the preparation, processing, and reconciliation of billing and invoices.
- Ensure timely and accurate payroll processing, including tax compliance and benefits deductions.
- Maintain compliance with federal, state, and local labor laws related to payroll and employee compensation.
- Manage employee time tracking, PTO accruals, and benefits administration.
- Address and resolve any payroll discrepancies or employee inquiries. Develop and implement financial policies, controls, and reporting to ensure compliance and efficiency.
- Manage accounts payable and receivable, bank reconciliations, and general ledger maintenance.
- Work with external accountants and auditors for tax preparation, compliance, and financial reporting.
- Provide financial analysis and insights to guide business strategy and decision-making.
Office Management & Administrative Leadership:
- Supervise office operations, ensuring a well-organized and efficient workplace.
- Manage vendor relationships, contracts, and office supply procurement.
- Oversee HR functions, including onboarding, employee records management, and compliance for internal employees.
- Maintain company policies and procedures to ensure a productive and compliant work environment.
- Coordinate internal communications and assist in leadership initiatives.
Qualifications & Skills:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- 5+ years of experience in billing, payroll, financial management, or office administration.
- Strong knowledge of GAAP, payroll regulations, tax compliance, and financial reporting.
- Proficiency in QuickBooks, payroll software (e.g., ADP, Gusto), and Microsoft Office Suite.
- Excellent organizational, analytical, and problem-solving skills.
- Strong leadership and interpersonal skills, with the ability to manage teams and work collaboratively.
- High level of discretion and confidentiality in handling sensitive financial and HR information.
