Little Land/Recess Pediatric Therapy is seeking a highly organized and people-oriented Pediatric Therapy Scheduling Coordinator to join our team full-time.
You’ll be responsible for onboarding new patients, scheduling evaluations, and managing recurring and makeup therapy sessions. This role is essential in creating a warm, professional, and efficient atmosphere that reflects our commitment to exceptional pediatric therapy services.
Key Responsibilities
New Patient Onboarding
- Manage the intake process for new therapy patients, including collecting documentation, verifying insurance information, and preparing intake files.
- Ensure all necessary forms and records are completed and accurately entered into the EMR system.
- Guide families through the first steps of their therapy journey with clarity and care.
Scheduling & Coordination
- Schedule initial evaluations, recurring therapy sessions, and makeup visits in coordination with therapists and family availability.
- Monitor and manage therapist schedules to optimize appointment slots and clinic flow.
- Communicate promptly and clearly with families regarding appointment reminders, changes, or cancellations.
- Track patient attendance and follow up on missed sessions to reschedule appropriately.
Clinic Communication & Teamwork
- Collaborate with clinical and administrative team members to ensure efficient operations and exceptional service delivery.
- Maintain up-to-date scheduling records, patient logs, and internal trackers.
- Proactively identify and resolve scheduling conflicts or issues with care coordination.
Qualifications
Education & Experience:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Previous experience in healthcare, therapy, or front desk/reception in a pediatric or medical office is highly preferred.
- Exceptional organizational and multitasking skills.
- Strong customer service orientation with excellent verbal and written communication.
- Friendly, approachable demeanor—comfortable interacting with children and parents alike.
- Proficient in using scheduling systems, EMRs, and Microsoft Office/Google Workspace.
- Reliable, detail-oriented, and calm under pressure.
