Summary
The Project Accountant is responsible for managing and overseeing all aspects of the billing cycle for the Company’s construction projects, with a particular focus on the Company’s Time and Material (T&M) contracts. This role ensures the accurate and timely preparation of client invoices, completes all associated internal and external reporting requirements, and works closely with the Company’s Project Managers, Accounting Department, and client representatives to resolve billing issues. The ideal candidate has a strong background in construction billing processes, excellent attention to detail, the ability to work collaboratively across departments, and the capacity to manage multiple billing cycles simultaneously.
Responsibilities
Billing and Accounts Receivable:
- Prepare and submit accurate and timely billings in accordance with the terms of the client’s contract.
- Oversee and maintain all Time and Material processes, including the timely and accurate distribution of reports to the client, as well as for the Company’s internal team.
- Coordinate with project managers to gather necessary documentation and approvals for billings.
- Foster and maintain a working relationship with the client’s accounting representatives to ensure timely approval and payment statuses are properly observed.
- Respond to client and internal inquiries regarding billing discrepancies or documentation.
- Support audits and financial reviews by providing billing records and supporting documentation.
Accounts Payable
- In conjunction with the Site Office Manager and/or AP Manager, assist with the first level of invoice review for the projects within the Company’s ERP by validating accuracy of invoice quantities, pricing, and delivery.
Accounting and Ad Hoc Responsibilities
- Perform other project-related tasks as directed by the Project Management team on an ad hoc basis
- Assist in other accounting and reporting tasks as directed by the Company’s accounting department
- Support internal and external audits by providing billing records and documentation.
Requirements
- Bachelor’s degree - Accounting, Finance, or a related field.
- 3+ years of accounting experience, preferably in the construction industry.
- Proficiency in construction accounting software (Viewpoint Vista, preferred)
- Exceptionally skilled in the use of Microsoft Excel, including the use of pivot tables and data queries.
- Strong knowledge of construction-specific billing processes and revenue recognition standards.
- Excellent analytical, organizational, and communication skills.
- Ability to manage priorities and meet deadlines in a fast-paced environment.
