Mid-level Electrical engineer Roles and Responsibilities
The Project Coordinator plays a key role in supporting the successful execution and delivery of mechanical, electrical, and plumbing (MEP) engineering projects. This position is responsible for assisting project managers and engineering teams with coordination, scheduling, document control, and communication across disciplines and with clients. The Project Coordinator ensures project tasks are organized, deadlines are tracked, and documentation is complete throughout the project lifecycle from initiation to closeout. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and a commitment to supporting project excellence and consistency across all phases of work.
Key Responsibilities:
1. Project Coordination & Documentation:
- Assist project managers in coordinating project activities from initiation through closeout.
- Maintain and organize project documentation, including contracts, submittals, RFIs, meeting minutes, and change orders.
- Support the preparation of proposals, reports, and presentations as needed.
- Track deliverables and follow up on outstanding action items with internal teams and external partners.
2. Scheduling & Workflow Support:
- Support the development and maintenance of project schedules.
- Monitor key project milestones and deadlines, ensuring tasks are completed on time.
- Help manage resource allocation tracking and coordinate internal team availability for project needs.
- Track financial performance of projects.
3. Client & Team Communication:
- Act as a communication liaison between project managers, engineering staff, clients, and subconsultants.
- Assist with scheduling and coordinating internal and external meetings and project reviews.
- Help manage incoming client requests, updates, and documentation.
- Support negotiation of scope and fees.
4. Reporting & Project Tracking:
- Utilize internal systems to track project status, proposals, budgets, and opportunities.
- Prepare project status reports, metrics, and summaries for internal leadership reviews.
- Support the QA/QC process by ensuring all materials meet internal standards and are reviewed before submittal.
5. Process & Standards Support:
- Contributes to the development and refinement of internal templates, tools, and workflows for project tracking and delivery.
- Maintain up-to-date records in line with internal standards and client expectations.
- Help identify opportunities to improve coordination and efficiency in project execution.
Qualifications:
Education:
- Bachelor's degree in Engineering, Project Management, Construction Management, Business Administration, or related discipline.
- Project management coursework or certification is a plus (e.g., CAPM, PMP prep, or equivalent).
Experience:
- 5+ years of experience in an AEC or engineering firm in a coordinator, project assistant, or similar role.
- Experience with working with project management software and tools
- Familiarity with MEP projects, industry terminology, and project lifecycles is preferred.
Skills & Competencies:
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint); experience with project management software (e.g., Unanet, Smartsheet, MS Project) is a plus.
- Ability to work collaboratively across multiple teams and disciplines.
- Proactive and adaptable mindset, with a desire to grow professionally in the AEC industry.
- Outstanding communication and interpersonal skills with the ability to influence, lead, and negotiate effectively.
- Proactive approach with a commitment to achieving project excellence and organizational goals.
Working Environment:
- Office-based role with occasional site visits as required.
