Project Administrator Job Description:

This position provides administrative support to our project management/estimating team. Project administrators spend 90 days training, then are assigned to 1-2 project managers. The position has a tiered advancement structure to eventually achieve Assistant Project Manager if desired, and opportunities for commission after the 90-day training period. The position hours are Monday – Friday 8am-4:30pm.


Compensation: The salary range will be $55,000-$75,000+ depending on experience. Competitive commission opportunities are also available after 90 days.


Responsibilities:

  • Project document management in both internal and external systems
  • Distribute documents to subcontractors
  • Pull bonds & permits as needed
  • Submittal & close out document compilation
  • Change order creation
  • Create & submit purchase orders for projects
  • Review specifications and plans for bids
  • Review & interpret construction plans
  • Correspond with clients on project schedule and basic project questions.
  • Attend pre-bids as needed
  • Handle job costing and closing out projects
  • Create initial take offs
  • Review bid addendums, ASIs, and RFIs for projects
  • Prepare draft estimates and proposals.
  • Review contracts from clients.
  • Perform handoffs with superintendents.
  • Review daily reports and quality assurance reports.
  • Answering phone calls & emails related to assigned work
  • Assist in compiling billings, lien releases, and certified payrolls as applicable

MINIMUM SKILLS OR EXPERIENCE REQUIREMENTS

  • High school diploma
  • Minimum 1-2 years of administrative or construction experience.
  • General knowledge of Microsoft Suite software (Word & Excel)
  • Proficient in use of general office procedures & office equipment
  • Proficient in written communication skills, including business writing skills
  • Must demonstrate reliability, dependability, and flexibility
  • Must be self-motivated, decisive, and able to manage competing demands
  • Exhibits strong organizational skills

  • Demonstrate an ability and willingness to troubleshoot, think outside of the box, and problem solve when challenging situations arise.
