Our firm provides comprehensive engineering for mechanical (HVAC, plumbing, etc.), electrical (power, lighting, telecom, security), and life safety (fire alarm and fire protection) systems that conserve energy and more efficiently operate in new and existing buildings. We support and improve the facilities for a variety of clients such as architectural firms, municipalities, transit authorities, energy service companies (ESCOs) and utilities.
OVERVIEW
We are currently experiencing our next phase of growth and seeking an intelligent, self-motivated, hardworking professional who is well-qualified to assume the role of Proposal Coordinator, preferably with experience in the Architecture, Engineering & Construction (A/E/C) industry. This experienced professional will work with technical staff to develop winning proposals for Local/State/Federal contracts/projects. Collaborating with management and technical staff, the Proposal Coordinator will oversee all Request for Proposals (RFPs) from beginning to end. It is imperative to our hiring team that the applicant possesses the following skills and experience:
- During Week 2 at SBS, can hit the ground running in regard to seeking out government procurements and offering experienced advice on proposal development workflows, with minimum direction from upper-level management.
- “Some” (1 to 3 years) experience in orchestrating proposals in response to RFPs, preferably in the A/E/C industry or at least some other professional service, i.e., NOT a commodity.
- Exceptional ability to pay attention to details and aesthetics. Someone who knows how to make documents look visually appealing, or at least visually consistent. SOME OF THE EXCITING PROPOSAL & BUSINESS DEVELOPMENT RESPONSIBILITIES
Material Creation & Brand Management
- Draft initial responses to proposals and other client deliverables as assigned. Also, write content and coordinate graphics for a completed proposal that accurately reflects proposal requirements.
- Produce qualification packages, proposals, leave-behinds, presentations, and marketing collateral to drive client development and brand awareness. Marketing collateral includes project lists and write-ups, data sheets, market-sector brochures, and resumes.
- Provide copywriting for proposal content including scope of services, project approaches, customized project roles and bios, etc.
- Provide quality control review and editing of all proposal and presentation material.
- Assist in the development and execution of company branding best practices and templates.
Collaboration and Coordination
- Communicate the proposal opportunities to the cross-functional teams and delegate responsibilities of awarded contracts to management, technical staff, and partners.
- Interview and gather information from management and/or subject matter experts to customize proposal responses.
- Coordinate the successful completion of proposals by managing it as a project, including creating and maintaining a schedule to that contains milestones for the required deliverables.
- Utilize modern project management methodologies and tools to prioritize and manage marketing tasks.
- Assume ownership in the final production and delivery of proposals.
Building Relationships & External Exposure
- Use our CRM database to acquire and retain business through professional, consultative, and proactive marketing activities directed at decision-makers and decision influencers at existing and new clients.
- Coordinate communications between our clients and internal stakeholders. This includes, serving as a point of contact with clients’ marketing and business development teams for joint proposal submissions and event support.
- Attend project/bid meetings and regular networking events, to identify and pursue qualified partners for multi-team proposals.
- Work with our partners on developing muti-team proposals.
- Update and maintain company website, social media pages, and CRM records.
Marketing Strategy & Organization
- Utilize CRM tools to capture and analyze metrics on our sales performance.
- Assist management with creating strategic growth initiatives.
- Identify and prioritize opportunities with management to support our strategic growth initiatives, specifically targeting new clients for high valued engineering services.
- Work with cross-functional team members to develop and execute the plans that support our strategic growth initiatives.
Administrative Support
- Assist in maintaining the company’s licenses, certifications and other credentials.
- Manage and maintain digital archive of project information and imagery, and various marketing logos and databases.
- Provide administrative support backup as needed which includes, but not limited to, clerical office duties, e.g., phones, email, scheduling, light bookkeeping, etc.
SOME OF THE VALUABLE QUALITIES YOU WILL BRING
Skills and Abilities
- Experience with Federal projects and Federal Procurement (e.g., SAM.gov) as well as municipal, state and private sector procurements for professional services, NOT commodities.
- Experience reviewing RFIs/RFQs/RFPs to extract key information that shape strategic, client-focused proposal responses.
- Ability to quickly gain comprehensive knowledge of the firm’s practice, clientele, goals, policies, and procedures.
- Understand the architectural, engineering and construction (A/E/C) industry, terminology and delivery methods. MEP engineering experience is a strong plus.
- Excellent communication (written and verbal), analytical and research skills with exceptional attention to detail.
- Excellent inter-personal skills. A genuine enjoyment of interacting with a diverse group of people. This includes an ability to establish and maintain authentic and effective working relationships with coworkers, managers and clients.
- A self-directed nature capable of prioritizing opportunities and performing multiple tasks. This includes, an ability to meet demanding timelines, work independently and manage time efficiently.
- Strong computer skills (MS Office Suite: MS Excel, MS Word, MS PowerPoint, MS Access, MS Outlook, and Internet), Customer Relationship Management (CRM) software, and familiarity with core social media platforms (LinkedIn, Facebook, Instagram, Twitter).
- Strong skills and experience in graphical design with packages such as Adobe Creative Suite (InDesign, Acrobat, Photoshop) or similar.
Education and Experience
- Associates or Bachelor’s degree Marketing, Business, Communications, English, Journalism, Public Relations or related fields.
- 2+ years of experience in a related role with an Associates or Bachelor’s degree.
- 3+ years of equivalent experience without an Associates or Bachelor’s degree.
- Experience in engineering, environmental, architectural, and/or construction field(s) is a plus.
- Active membership with the Society of Marketing Professional Services (SMPS) is a plus.
GENERAL INFORMATION
- Candidates should be prepared to provide a portfolio of previous proposal and writing samples for review.
- Must have personal vehicle and/or transit arrangements to attend proposal and networking events, sales meetings and to visit client sites.
- Professional references are required and will be checked. Must be from direct supervisors and NOT a friend, relative, or fellow colleague.
- Position reports in office full-time, Monday-Friday from 8 AM-5 PM. A small percentage of marketing-related events are held outside of regular office hours.
- Pre-employment drug test and background check are required.
