Blue Crane, a real estate operations and development company headquartered in Bentonville, Arkansas, is seeking an experienced, highly motivated individual to join the team as the Transactions Coordinator & Leasing Assistant.

What You'll Do

We are seeking a detail-oriented and proactive Transaction Coordinator & Leasing Assistant to support our real estate team through all phases of property transactions and lease administration. In this dynamic role, you’ll ensure seamless coordination of real estate acquisitions, dispositions, and leasing activities—keeping contracts on track, communication flowing, and documentation in order. You’ll also assist in marketing available properties, preparing reports, and supporting our leasing director with essential administrative tasks. Role's Responsibilities

Property Acquisition / Disposition

  • Manage and track all aspects of real estate transactions from contract to close.
  • Coordinate communication between agents, title companies, and internal team members.
  • Ensure timely completion of all transaction documents, including contracts, surveys, disclosures, and inspection reports.
  • Monitor contract deadlines and follow up with parties to ensure compliance with timelines.
  • Review documents for accuracy and completeness before submission.
  • Provide team members with updates on the transaction status and next steps.

Property Leasing

  • Assist in the preparation and execution of lease agreements and renewals.
  • Coordinate review of lease agreements with outside legal counsel and review leases for accuracy.
  • Ensure timely and accurate completion of all lease agreements. Coordinate Docusign on all leases and lease amendments.
  • Organize and schedule property viewings for prospective tenants with third party brokers or internal team members.
  • Prepare routine reporting including expiring tenants, vacant spaces, and leasing leads on a weekly basis.
  • Assist in marketing and advertising available properties.

Administrative

  • Maintain organized files and records for each transaction in compliance with industry regulations.
  • Support Director Leasing by handling administrative tasks, allowing them to focus on client relationships.
  • Prepare License Agreements and collect COI’s for 3rd party use of property.
  • Keep up to date with market trends and local real estate activity.

Who We Need

  • High school diploma or equivalent; an associate’s or bachelor’s degree in business, real estate, or a related field is a plus.
  • Proven experience in real estate transactions, administration, or a similar role.
  • Real estate license or certification preferred but not required.
  • Strong understanding of real estate contracts, transaction processes, and industry terminology.
  • Proficiency in Microsoft/Google Office Suite. Yardi software proficiency preferred but not required.
  • Excellent attention to detail and ability to manage multiple transactions simultaneously.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal skills for coordinating with clients and internal team.
  • Ability to work independently and solve problems efficiently.
  • Real estate license or certification preferred but not required.
  • Ability to multitask and work on a large quantity of transactions.
  • Exceptional organizational skills.
  • Superior written and verbal communication skills.
  • Attention to detail and dedication to excellence.
  • A quick learner and self-starter who can handle diverse tasks quickly and accurately within a high-pressure environment.
