Who we’re looking for

We are looking for a competent Secretary to provide secretarial support to our investment teams based in Singapore. You will provide administrative support including scheduling meetings, submit claims and expenses, corresponding with internal and external parties, handling of visitors, coordinating events and attending to other ad-hoc requests.

You must be quick to action with great time-management and multi-tasking abilities. You will work with a strong degree of autonomy. To be successful in this role, you should be proactive, meet deadlines and communicate effectively.

Key

Responsibilities

  • Act as the team secretary for the Public Markets and Private Markets teams based in Singapore, coordinating all administrative and logistical matters with internal and external stakeholders
  • Manage travel expenses and process expense claims and reimbursements accurately and promptly.
  • Assisting the investment heads to organize meetings and travel arrangements. Coordinate travel itineraries, visa applications and related arrangements for the investment heads
  • Assist with organising events, meetings, and visits involving overseas clients and Schroders colleagues. Coordinate logistics and special travel arrangements for overseas visitors as required.
  • Handle confidential documents ensuring they remain secure and maintain appropriate levels of confidentiality
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Organise and maintain documentation and filing systems to ensure efficient retrieval of information
  • Attend meetings and keep minutes when assigned
  • Co-ordinate reporting for various working and management committees, prepare presentations, document or reports as assigned
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc)
  • Other admin support including documentation for hardware/software requisitions for new joiners, and other ad hoc duties as and when required
  • Work and support respective country Executive Assistants for any related administrative duties

The knowledge, experience and qualifications you need

  • Proven experience supporting senior executives, ideally within financial services
  • Strong organisational and time management skills, with the ability to prioritise effectively in a dynamic environment
  • Experience managing complex calendars, travel arrangements, and senior stakeholder coordination
  • High level of discretion and professionalism when handling confidential information
  • Proficiency in Microsoft Office and collaboration tools (e.g. Outlook, Teams, PowerPoint, Excel)
