Job Summary
The Assistant Manager, Clinic Support staff supports the Practice Manager in overseeing day-to-day technician and assistant operations, workflow execution and efficiency, staff management support, and clinic readiness within a high-quality, high-volume spay/neuter clinic. This role provides strong floor leadership, ensures consistent adherence to protocols, supports training and helps maintain efficiency, safety, quality controls and team culture. Duties and Responsibilities
- Clinical Operations & Workflow Support
- Support daily staffing assignments and on-floor coverage for technicians and assistants
- Monitor patient flow and assist with real-time workflow adjustments to maintain efficiency
- Act as a visible on-floor resource for support staff during clinic hours
- Support implementation of new protocols, programs, and workflow changes
- Ensure accurate and timely use of the electronic medical record system by support staff
- Escalate complex workflow or clinical issues to the Technician/Practice Manager as needed
- Serve as the acting Manager during periods when the Technician Manager is not scheduled to ensure continuity of operations, decision making, and team support.
- People Support, Training & Team Development
- Assist with onboarding and training of technicians and assistants
- Reinforce role-based competencies and support skills development
- Provide day-to-day guidance, coaching, and feedback to staff
- Support scheduling, attendance tracking, shift coverage, and daily staffing needs
- Model professionalism, teamwork, and clinic expectations
- Help identify emerging leaders and training needs within the team
- Support Manager with human resources functions for the technicians and assistants
- Support integration of volunteers into Clinic operations, where appropriately trained and supportive to Clinic operations
- Quality, Safety & Compliance Support
- Support adherence to anesthesia, recovery, and patient safety protocols
- Assist with controlled substance handling, documentation, and monitoring
- Monitor for compliance with clinic policies and safety standards
- Flag quality or safety concerns promptly to leadership
- Participate in audits, reviews, and quality improvement initiatives as assigned
- Equipment, Facilities & Daily Readiness
- Support daily equipment checks and clinic readiness
- Identify equipment issues and coordinate with leadership for resolution
- Support inventory management, ensuring treatment, surgery, and recovery areas are prepared and stocked
- Assist with maintaining a clean, organized, and functional clinical environment
- Client Experience & Event Support
- Support client communication and escalations as needed
- Assist with preparation and execution of large-scale spay and neuter events
- Help coordinate staffing, workflow, and setup for high-volume or special event days
- Maintain a calm and professional presence during busy or escalated situations
Qualifications
- Certified Veterinary Technician (CVT) credential preferred
- Minimum of 2-4 years of clinical experience in a veterinary setting.
- Proven experience in training or mentoring veterinary staff preferred.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Familiarity with Shelter Medicine and high-volume clinic environments is a plus.
- Proficiency with training tools and technology.
- Ability to work Sundays; ensure full coverage of schedule with Veterinary Technician Manager to ensure one of these positions is scheduled for each surgery day.
Physical Requirements
- Climbing stairs, balancing, stooping, kneeling, crouching, reaching, lifting and grasping
- Walking and moving about to accomplish tasks, particularly for long distances or moving from one work site to another
- Able to lift 25lbs occasionally, 10lbs frequently and a negligible amount constantly
