At Spring Arbor Cottage of Salisbury, the Business Office Manager is much more than the person behind the numbers.
Our 48-unit community in Midlothian, Virginia is dedicated exclusively to Memory Care and is currently home to 47 residents. In a close-knit community like ours, every member of the leadership team plays an important role in creating an environment where residents feel at home, families feel supported, and associates have the tools and guidance they need to provide exceptional care.
We are seeking an experienced, highly organized, and people-focused Business Office Manager to join our leadership team and help keep the people and business sides of our community running smoothly.
This is a dynamic role for someone who enjoys wearing multiple hats. One moment you may be reviewing resident accounts or processing payroll, and the next you may be helping an associate understand their benefits, onboarding a new team member, running a background check, supporting a department leader with a process question, or partnering with the Executive Director on an employee relations matter.

What You'll Do
As Business Office Manager, you will oversee key business, accounting, Human Resources, payroll, and administrative functions while serving as an active member of the community leadership team.
You will:
Manage resident accounts, including payment posting, deposits, monthly charges, statements, collections, refunds, rate changes, and overall account accuracy.
Coordinate account activity related to resident move-ins, move-outs, and transfers.
Assist residents and families with billing questions, account balances, payments, and other business office needs with professionalism, patience, and compassion.
Oversee accounts receivable and support additional accounting and financial functions within the community.
Utilize Yardi for applicable accounting and business office functions.
Support payroll processing and help ensure associates and department leaders follow established payroll procedures and deadlines.
Support Human Resources functions, including onboarding, personnel documentation, associate records, I-9s, E-Verify, background screenings, and other employment-related processes.
Utilize HRIS and payroll systems to maintain accurate associate information and support day-to-day HR operations.
Serve as an approachable resource for associates with questions regarding payroll, benefits, policies, and employment-related matters.
Assist with employee relations matters, including associate concerns, corrective action, documentation, and investigations, partnering with the Executive Director and Employee Relations as appropriate.
Help department leaders understand and consistently follow established HR, payroll, and administrative processes.
Provide guidance and training when needed to help leaders and associates successfully navigate community processes and systems.
Hire, train, schedule, supervise, and support a receptionist team consisting of both full-time and part-time associates.
Manage the guest and associate meal program, including receipts, reconciliation, deposits, and required reporting.
Partner closely with the Executive Director and other department leaders to support overall community operations.
Help maintain an organized, welcoming, professional environment for residents, families, associates, and visitors.

The People Side of the Role Matters
Strong accounting and administrative skills are important, but this position is equally about people.
Associates may come to the Business Office Manager with questions about their paycheck, benefits, onboarding, policies, or other employment matters that are important to them personally. Sometimes those conversations can be emotional or require additional patience and explanation.
We are looking for someone who can listen, remain professional, communicate clearly, and help associates navigate those situations with both compassion and confidence.
You'll also serve as a resource to other department leaders, helping reinforce processes, answer questions, provide training when appropriate, and create consistency throughout the community.
What We're Looking For
Our ideal Business Office Manager is someone who is organized, professional, diligent, approachable, and dependable.
You don't necessarily need to come from senior living. We're open to candidates from other industries who bring the right combination of accounting, Human Resources, payroll, employee relations, leadership, and office management experience.
You should be comfortable working in a fast-paced environment where priorities can shift throughout the day while still maintaining accuracy and follow-through.
Required Qualifications
Must be a minimum of 18 years of age.
Working knowledge of Microsoft Office programs, including Word, Excel, and Outlook.
Strong organizational skills with excellent attention to detail and follow-through.
Ability to prioritize multiple responsibilities in a fast-paced environment.
Ability to handle sensitive and confidential employee and resident information professionally.
Strong interpersonal and communication skills with the ability to navigate sensitive conversations calmly and compassionately.
Must have a positive Criminal Background Screening.
The Community is a drug-free workplace; associates are subject to adherence to the Company Drug Free Workplace policy.
If assigned driving responsibilities, the associate must possess and maintain a valid driver's license and an acceptable Motor Vehicle Record (MVR) in accordance with Company Fleet Safety standards. Driving duties are incidental to the primary responsibilities of this position and may be assigned based on business needs.
MVR reviews will be conducted at hire and periodically thereafter in accordance with Company policy. Associates who do not meet or maintain Company driving standards may be ineligible to perform driving duties; however, such determination will not automatically affect continued employment in the position where driving is not an essential function.
Preferred Qualifications
Previous experience in a Business Office Manager, Office Manager, Human Resources, accounting, payroll, or similar administrative leadership role.
Minimum of one year of office-related experience preferred.
Minimum of one year of accounting experience preferred.
Experience with accounts receivable, accounts payable, billing, collections, payroll processing, or other accounting functions.
Experience supporting Human Resources, onboarding, employee relations, benefits, payroll, I-9s, E-Verify, background screening, or personnel administration.
Previous experience supervising, training, or supporting associates.
Experience working with an HRIS or payroll platform such as Dayforce, UKG, ADP, or a comparable system. Dayforce experience is a plus.
Experience with Yardi or another accounting/property management platform is a plus.
Senior living, healthcare, hospitality, or another people-focused environment is a plus, but not required.
Strong decision-making, self-motivation, teamwork, communication, and problem-solving skills.
A genuine desire to work in an environment serving seniors and families affected by Alzheimer's disease and other forms of dementia.
