Facilities Manager
Job description
The Facilities Manager oversees all facilities related issues and serves as the primary point of contact for each location. This position ensures all building systems and equipment are functioning properly and are maintained in excellent condition. Ensures consistency among all location for look and feel. The Facilities Coordinator performs minor repairs, vendor relationships and moves furniture or equipment. This position works to ensure compliance with OSHA and ADA.
Location: Based in Ames, will need to travel to branches located in the South and North regions.
Hours: Monday-Friday 8am -5pm.
Pay Range: Min: $71,024 Mid: $88,780 Max: $106,536
Essential Functions &Responsibilities
Serves as the primary point of contact to address and handle all facilities related issues or requests. Responds to maintenance calls in a timely manner. Communicates directly with branches and coordinates with other parties as needed. Performs minor repairs and moves furniture or equipment.
Oversees vendors to ensure work is performed effectively and executed safely for services including but not limited to: landscape, janitorial, HVAC, ATM's, elevator, snow removal, document destruction, and fire inspections. Reviews contracts and purchase orders; maintains contact and negotiates with vendors; research savings opportunities by way of volume discount; evaluates and recognizes vendor performance.
Conducts inspections of interior and exterior components of all branches for maintenance improvements. Completes general building maintenance tasks. Maintains records of repairs and preventative maintenance. Identifies and implements procedures to improve facilities and utilization.
Oversees facilities related purchasing, office supply procurement, and company vehicle maintenance. Verifies vendor accounts by reconciling monthly statements and related transactions. Contacts vendors as needed. Codes invoices and completes all required Accounts Payable forms for payment processing. Maintains files on work orders, proposals and department files. Recommends items for budget and keeps a rolling list of when equipment might need replaced.
Participates and supports planning, construction, and remodel of facilities. This includes holding vendors accountable, communicating with project teams and ensuring projects are completed in a timely manner. Helps support mail services.
Performs other job related duties as assigned.
Knowledge and
Skills
Experience: Five years to eight years of similar or related experience.
Education (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.

Skills
Work involves extensive personal contact with others and is of a personal or sensitive nature. Motivating, influencing, and/or training others is key at this level. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.

While performing the duties of this job, the employee is regularly required to talk, hear, stand, walk, use hands to handle or feel objects, tools, or controls; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee frequently is required to talk or hear. The employee must be able to lift or carry 50 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus. Will regularly be required to drive to different branch location. Work Environment: Work is regularly performed in a combination of office and outside environments. The noise level is moderate to loud. This role routinely uses standard office equipment such as computers, phones, copiers and fax machines
