Job Description
Job Summary
We are seeking a highly organized and detail-oriented Legal Executive Assistant to provide high-level administrative support to a senior attorney in a fast-paced legal environment. This person will take ownership of the attorney's calendar and inbox, coordinate meetings and communications, serve as a professional point of contact for clients, and proactively ensure that priorities and follow-ups are managed effectively.
The ideal candidate will have excellent judgment, polished written and verbal communication skills, strong attention to detail, and the ability to handle confidential and sensitive information with discretion.
Responsibilities
- Manage a complex calendar, including client meetings, internal meetings, professional commitments, and personal appointments; proactively resolve conflicts and reprioritize as needed.
- Monitor and organize the attorney's inbox, identifying urgent or important items and handling or routing correspondence appropriately.
- Draft and proofread professional emails, letters, and other correspondence for attorney review and signature.
- Screen calls and visitors, take detailed messages, and serve as a responsive point of contact for clients and other stakeholders.
- Coordinate meetings with clients and external contacts, including preparing agendas and materials, taking notes, and tracking follow-up items through completion.
- Maintain organized electronic files and ensure documents and correspondence can be easily located.
- Assist with daily time entry and review billing/prebill information for accuracy.
- Track professional licensing requirements, continuing legal education, registrations, and renewals.
- Maintain accurate client contact information and relationship notes.
- Exercise sound judgment when determining which matters require the attorney's attention and which can be handled independently.
- Handle confidential and privileged information with a high degree of discretion.
Qualifications
- Demonstrated experience supporting a senior attorney, partner, executive, or other senior-level professional in a law firm or legal environment.
- Strong ability to manage competing priorities in a fast-paced setting.
- Excellent critical thinking, problem-solving, and organizational skills.
- Strong written and verbal communication skills, including experience drafting correspondence on behalf of an executive.
- Exceptional proofreading and attention to detail.
- Demonstrated discretion when handling confidential or sensitive information.
- Proficiency with Microsoft Word, Excel, Outlook, and other Microsoft Office applications.
- Ability to quickly learn legal practice management and document management systems; experience with Clio or similar software is a plus.
- Comfortable working independently, anticipating needs, and following through without extensive direction.
- Bilingual English/Spanish communication skills required.
