Job Summary
The Professional Practice Group (PPG) Risk and Legal team is seeking a detail-oriented and proactive Manager, Legal | Claims & Litigation to oversee the end-to-end claims management process and provide paralegal support to the Office of General Counsel. This role sits within the Office of General Counsel and serves as the central point of coordination for client service issues, third-party subpoenas and requests for document production, and insurance reporting. As the Manager, Legal | Claims & Litigation, you drive consistent, compliant claim resolution across multiple practice groups, partnering with legal, service line Partners, insurance, finance, and outside counsel to contain costs, manage risk, and protect the organization's exposure. Key Responsibilities
Claims Management and Coordination
- Drive consistent, compliant claim resolution across multiple practice groups within the PPG structure.
- Engage outside counsel when needed and ensure partners are appropriately involved in the claims process.
- Log and maintain all matters in Legisway, using the platform to track open legal matters and ensure accurate record-keeping.
- Manage matter management phone calls and coordinate communications among stakeholders.
- Manage reporting to insurance carriers, including timely submission of claims and status updates.
- Schedule routine and regular open matters status calls for legal review with the Chief Risk Officers.
- Maintain reports and track spending on claims, providing regular updates to leadership.
- Identify areas of risk based on reoccurring client issues and escalate to Chief Risk Officer.
- Manage the litigation process associated with client service issues from intake through resolution.
- Ensure compliance with state and federal regulations, statutory filing requirements, privacy laws, and internal controls.
- Look across all practice groups to identify, track, and address client service issues, ensuring timely and compliant resolution.
- Ensure litigation hold letters are issued promptly and manage the litigation hold process in coordination with in-house and outside counsel.
Paralegal and Legal Support
- Summarize cases and prepare reports for attorneys.
- Conduct research and investigate facts relevant to claims and legal matters.
- Communicate with internal clients to gather information, provide updates, and maintain confidentiality.
- Serve as a point of contact for practice groups on claims-related inquiries and status updates.
- Organize, index, and archive documents related to completed and ongoing cases, ensuring easy retrieval of pleadings, motions, correspondence, and records.
- Draft legal documents, including settlement and release agreements, litigation hold notices, authorizations for release of records in third-party subpoena cases, and responses to requests for records under IRS Code 7216.
Third-Party Subpoena Process
- Assist Associate General Counsel in third-party subpoena process for the firm.
- Assist in-house and outside counsel with litigation holds and pulling of requested records.
- Coordinate with IT and service lines for data collection and preservation.
- Handle interrogatories, requests for production, and subpoenas, coordinating evidence collection with counsel, custodians and vendors, including document collection, review, and production.
Candidate Qualifications
- Certification or associate's degree in paralegal studies (bachelor's degree preferred).
- 5–7 years of experience in a paralegal role, preferably in a professional services, corporate legal, or risk management environment.
- Investigative mindset with strong research and analytical skills.
- Working knowledge of legal database software, including matter management platforms (e.g., Legisway)
- Knowledge of litigation procedures, claims management processes, and regulatory compliance requirements.
- Experience in preparing legal reports, case summaries, and legal memoranda.
- Excellent written and verbal communication skills.
- Excellent time management skills with the ability to work under pressure and meet tight deadlines.
- Ability to manage multiple concurrent matters across practice groups independently.
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams).
- Familiarity with insurance reporting processes and third-party subpoena procedures is a plus.
