Project Coordinator

Role Overview

The Project Coordinator supports project execution across jobsite and administrative functions, working closely with the Project Manager and Finance. This role helps maintain the documentation, financial administration, compliance, communication, and tracking necessary to keep projects organized and moving forward. The Project Coordinator provides exposure to core project management responsibilities and an opportunity to develop toward future roles in project management or job cost accounting.

Primary Responsibilities

Project Support & Coordination

  • Support the Project Manager in the execution, administration, startup, and closeout of projects.

  • Coordinate communication among project teams, field personnel, subcontractors, vendors, and finance partners to ensure alignment on deliverables and timelines.

  • Maintain project documentation, including schedules, RFIs, submittals, change orders, compliance records, and closeout documentation.

  • Track and follow up on project deliverables to ensure deadlines are met.

  • Assist with reporting, budgeting, schedule management, and issue resolution.

  • Support safety, quality, and field reporting requirements while maintaining accurate and organized project records.

  • Communicate project status, financial updates, risks, and key issues to the PM and Finance.

  • Performs special projects and completes all other duties as assigned or requested for the general support of the organization.

Financial & Document Control

  • Collaborate with finance and accounting to support project financial administration and billing, including job cost tracking, forecasting, budget-to-actual review, Schedule of Values (SOV), monthly billing and invoice processing, and stored materials documentation.

  • Coordinate project and subcontractor/vendor compliance and documentation, including tax exemption certificates, COIs, bonding, OCIP/CCIP programs, writing and executing purchase orders, and tracking engineering and detailing.

  • Support change management and project recordkeeping, including tracking NOCs/change orders, preparing supporting cost documentation and CO budgets, processing related subcontractor/vendor changes, and maintaining organized project files and records.

Minimum Qualifications

  • 1-3 years of experience supporting construction projects, project administration, operations, finance, or related activities.

  • Associate degree in Construction Management, Business, Finance, or a related field; or an equivalent combination of education and construction-related experience.

  • Excellent organizational, communication, problem-solving, and time management skills, with the ability to manage multiple priorities, coordinate across project teams, and meet deadlines.

  • Strong proficiency in Microsoft Office applications (Excel, Word, and Outlook), and experience in using construction ERP, accounting, or project management software; familiarity with Textura, GCPay, LCP Tracker, and Smartsheet is a plus.

  • Experience supporting project financial administration, cost tracking, billing, forecasting, change management, or related project controls activities is a plus.

  • Familiarity with construction documentation, including project schedules, RFIs, submittals, change orders, and project records preferred.
