Position
Summary
The Project Coordinator provides dedicated financial and administrative support to one or more Project Managers, ensuring jobs are accurately forecasted, billed and collected on time, and that purchasing and invoicing are executed in compliance with contract terms and company policy. This role allows Project Managers to stay focused on field execution, schedule, and customer relationships while the Coordinator manages the surrounding financial and administrative workflow.

Responsibilities
Job Forecasting & Cost Management
- Partner with assigned Project Manager(s) to maintain accurate, up-to-date job cost forecasts and work-in-progress (WIP) reporting for each active project
- Track committed costs, change orders, and actual costs against budget, and flag variances to the Project Manager and Controller
- Maintain job cost codes and ensure project financial data is accurately reflected in the accounting/ERP system
Billing & Collections
- Prepare and submit progress billings (including AIA-style pay applications where required) in accordance with contract terms, retainage requirements, and billing schedules
- Track outstanding accounts receivable by project and proactively follow up with customers/owners on past-due invoices
- Prepare, request, and track conditional and unconditional lien waivers (progress and final) from the company and its subcontractors
- Coordinate with the Project Manager and Controller on collection escalations and cash application questions
Purchasing & Invoicing
- Create, issue, and track purchase orders for materials, equipment, and subcontracted work in accordance with approved budgets and contract terms
- Review vendor and subcontractor invoices against purchase orders, contracts, and delivery/completion confirmation before routing for approval and payment
- Resolve invoice discrepancies with vendors, subcontractors, and the accounts payable team
- Maintain organized purchasing and invoicing records to support month-end close and audit requests
Project Administration & Documentation
- Maintain organized project files, including contracts, change orders, submittals, subcontracts, certificates of insurance, and closeout documentation
- Prepare and distribute meeting minutes and track open action items to completion
- Support project scheduling and phasing updates in coordination with the Project Manager
- Track and help resolve open RFIs, submittal logs, and punch list items with subcontractors and vendors
- Compile warranty documentation and closeout packages at project completion
- Assist with customer/owner correspondence and status updates as directed by the Project Manager
- Additional project coordination duties as assigned

Tools for the Job:
Required:
- Associate's or Bachelor's degree in construction management, business administration, accounting, or a related field, or an equivalent combination of education and experience
- 2+ years of experience in project coordination, project accounting, or administrative/financial support; construction or roofing industry experience preferred
- Working knowledge of job costing, progress billing, and purchase order processes
- Proficiency in Microsoft Excel and Outlook, with the ability to learn RRA's ERP, project management, and accounting systems
- Strong written and verbal communication skills
- Ability to manage multiple projects and deadlines with a high degree of accuracy and attention to detail
- Based in, or able to work onsite in, the Milwaukee, WI market
Preferred:
- Experience with AIA billing (G702/G703), lien waivers, and construction purchase order systems
- Experience supporting commercial roofing or specialty trade contractor projects
- Familiarity with Procore, Bluebeam, or similar construction project management software
