Position Overview:
We are seeking a full-time Administrative Assistant to support the team and manage critical administrative functions across our client base within the My Valuable Business, LLC (MVB) family. This role requires prior experience working with senior executives, a proactive mindset, and the ability to operate independently with minimal supervision. The ideal candidate is a professional, self-motivated individual with exceptional organizational skills, a keen attention to detail, and the ability to thrive in a fast-paced, collaborative environment. This position is perfect for someone who excels at managing multiple priorities and maintaining strong client relationships.
Key Responsibilities:
- Manage email triage by reviewing incoming client emails and directing them to the appropriate fractional department (e.g., HR, Finance, Marketing).
- Organize and maintain data, log files, and set up tasks in Monday.com to ensure efficient workflows.
- Coordinate and manage calendars, schedule appointments, and arrange meetings for C-suite executives.
- Assist with client follow-ups, ensuring timely and professional communication.
- Perform general administrative duties, including document preparation, data entry, and maintaining organized records.
- Handle sensitive and confidential information with the utmost discretion.
- Support the onboarding and disengagement processes for clients, ensuring seamless transitions.
- Monitor and prioritize tasks to meet deadlines and organizational goals.
- Provide proactive problem-solving and process improvement suggestions to enhance efficiency.
- Collaborate with cross-functional teams to support client needs and company objectives.
Qualifications:
- Minimum of 3 years of administrative experience, supporting C-suite executives a plus.
- Proven ability to work independently as a self-starter, managing tasks with minimal direction.
- Strong organizational and time management skills, with a high level of attention to detail.
- Proficiency Microsoft Office Suite required; experience with Monday.com a plus.
- Excellent written and verbal communication skills, with a professional and client-focused demeanor.
- Ability to handle highly confidential information with discretion and professionalism.
- Able to work effectively in a fully remote environment.
- Must pass a criminal background check.
- Must be legally authorized to work in the United States without sponsorship
