Overview
We’re seeking a full-time, in-office Executive Assistant to support the President/CEO in a fast-paced, high-performance environment. This isn’t your typical admin role—we’re looking for someone who can bring structure, focus, and follow-through every day. You’ll serve as a trusted right hand, managing time, communication, and projects with precision and professionalism.
This role requires someone who is proactive, extremely organized, and comfortable working in a dynamic setting where priorities can shift quickly.
Responsibilities
- Coordinate meetings, travel arrangements, and internal/external communication
- Manage and optimize the CEO’s daily and weekly calendar with clarity and foresight
- Triage emails and messages, draft correspondence, and follow up on key tasks
- Organize business documents, contracts, and confidential files
- Track deal progress and assist with client coordination and follow-through
- Build and refine systems to improve efficiency and reduce friction
- Support special projects, research, and CRM updates as needed
- Coordinate projects and meetings, ensuring all necessary materials are prepared in advance.
- Manage office communications and email correspondence, demonstrating excellent phone etiquette.
- Organize travel arrangements and itineraries for executives as needed.
- Maintain an organized office environment that fosters productivity and efficiency.
- Assist with special projects as assigned by the executive team.
Qualifications
- Proven experience as an administrative assistant or in a similar clerical role.
- Confidence using tools like Gmail, Google Drive, Excel, HubSpot, and basic automation tools (Make.com or similar is a plus). Proficiency in applications such as Word, Power Point, Docs, Sheets, etc.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent project coordination capabilities with attention to detail.
- Familiarity with office equipment and Apple/Mac computer systems.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- 5+ years of experience as an Executive Assistant or Executive Business Partner
- Strong organizational and time management skills—you love systems and checklists
- Excellent judgment and the ability to anticipate needs before they arise
- Highly professional communication skills (both verbal and written)
- Discretion and trustworthiness in handling sensitive matters
- A proactive mindset—you don’t wait for instructions, you make things happen
- Comfortable working on-site in Boerne, TX (this is not a remote or hybrid position)

Pay: $60,000.00 - $70,000.00 per year
