The role, in brief:
The Project Coordinator for New Business supports the business development team in the execution and organization of new client opportunities, RFP responses, onboarding processes, and early-phase project setup. This role ensures communication, documentation, and task tracking are maintained across departments as the company promotes themselves to potential new clients and participates in the new business (RFP) process for clients actively seeking advertising support.
Responsibilities include:
- Support business development team in creating and managing timelines and deliverables related to proposals and pitch decks.
- Track progress of new business opportunities using CRM or project tracking software
- Schedule internal and external meetings, take detailed notes, and follow up on action items
- Maintain and organize key documentation for RFPs, client assets, contracts, business development and project kickoffs
- Assist in developing and maintaining internal processes for efficient new business operations
- Support the creation of internal reports on new business pipeline progress
- Other tasks as assigned
Those who succeed in this role have the following qualifications:
- Bachelor’s degree in Business Administration, Management, or related field
- 4-6 years of experience in project coordination or administrative support
- Be able to work independently and in a team environment
- Strong organizational skills and attention to detail
- Ability to be flexible and adaptable to changing needs
- Must have a client service mindset
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office and project management tools (e.g., ClickUp)
- Ability to work effectively with various staff members

Schedule and Location:
You should be available during our business hours of Monday - Friday 8:30am - 5:30pm. We can guarantee 10 hours per week but actual hours may vary and could be up to 30-35 hours during busy seasons.
This role can be fully remote and based in any U.S. state
Compensation:
The hourly rate for this position is $50 - $65 an hour.
