Front Desk Associate – Rhodes School of Music

About Us
Rhodes School of Music is a thriving community of over 800 students and 50 teachers. We provide private lessons for all ages and instruments in a welcoming and professional environment. We’re looking for a Front Desk Associate who is highly professional, organized, and customer-focused to oversee daily school operations and support our students, parents, and teachers.
Duties & Responsibilities
- Open and close the school.
- Organize, direct, and monitor daily front desk activities.
- Review and confirm student schedules to ensure accuracy and proper booking.
- Handle lesson scheduling: cancellations, setups, and reschedules.
- Address scheduling issues and communicate effectively with parents and students.
- Explain and enforce billing and school policies.
- Monitor teacher adherence to policies and assist with communication.
- Answer phones, convert prospective clients into students, and relay accurate messages.
- Resolve client concerns and complaints with professionalism.
- Maintain and monitor front desk area, 9 teaching studios, and waiting areas.
- Support school marketing efforts: social media, mass mailings, and data projects.
- Track and follow up with prospective clients.
- Constant upkeep and light cleaning of waiting areas, studios, bathrooms, and common spaces.
- Assist with recitals, events, and other school projects as needed.
Qualifications
- Exceptional customer service skills.
- Highly computer literate; proficient in Google Docs (Sheets, Docs, Forms).
- Excellent phone and sales skills.
- Strong professionalism in attitude, appearance, and communication.
- Excellent written and oral communication skills; fast typing ability.
- Good judgment with the ability to make timely and sound decisions.
- Punctual, reliable, and detail-oriented.
- Organized, thorough, and able to follow procedures and checklists with 100% accuracy.
- Able to prioritize multiple tasks, calls, and emails in a busy environment.
- Calm and professional in noisy or stressful situations while assisting multiple clients at once.
- Flexible with scheduling; able to swap shifts when needed.
- A drive for constant improvement and attention to every detail of the business.
Schedule
- Full-time: Tuesday – Friday, 1:00 PM to 8:30 PM; Saturday, 1:30 PM to 6:30 PM.
- Approximately 36–40 hours per week, with occasional additional hours as needed.
