<Position Summary>
The HR Program & Administrative Coordinator works closely with the HR Manager to support a variety of HR programs, initiatives, and operational tasks. This role is ideal for someone with basic HR knowledge, strong organizational skills, and the flexibility to assist with projects ranging from employee programs to office logistics. Fluency in Japanese and English (speaking, reading, and writing) is required to ensure smooth communication and documentation with Japan-based teams and headquarters.
<Key Responsibilities>
Direct Support to HR Manager
- Assist the HR Manager with program execution, tracking, and follow-up for HR initiatives such as employee engagement, training, benefits, compliance, and policy updates.
- Prepare bilingual communications, reports, and presentations for internal and HQ audiences.
- Monitor timelines, deadlines, and deliverables for HR-related projects.
- Follow up with departments, vendors, and Japan HQ to ensure smooth project progress.
<Special Projects & Program Management>
- Coordinate project tasks for HR programs, including research, vendor coordination, and logistics.
- Support office renovation planning, including communication to staff and HQ.
- Assist in organizing company events, workshops, and recognition programs.
- Maintain project documentation and provide status updates to the HR Manager.
<Administrative & Operational Support>
- Manage bilingual correspondence, scheduling, and calendar support for HR-related meetings.
- Prepare meeting agendas, take minutes, and track action items.
- Assist with onboarding, employee file maintenance, and routine HR data entry.
- Translate documents and communications between English and Japanese as needed.
- Provide backup support to general office operations when required.
<Qualifications>
- Basic knowledge of HR processes (onboarding, recordkeeping, benefits administration).
- Fluency in Japanese and required.
- Strong organizational and time management skills with the ability to handle multiple priorities.
- Proficiency in Microsoft Office Suite; ability to learn HRIS and project tracking tools.
- Detail-oriented, proactive, and able to work independently under guidance.
- Willingness to assist in a wide range of tasks — from strategic projects to hands-on operational work.
<Preferred Skills & Attributes>
- Prior experience as an HR or administrative assistant, preferably in a bilingual setting.
- Experience working with Japan-based teams or in a Japanese corporate environment.
- Flexible and resourceful problem-solver who thrives in a team-oriented environment.
- Ability to maintain confidentiality and handle sensitive information professionally.
