Membership Program Administrative Assistant
Overview:
This position serves as an assistant to the Membership Manager by performing administrative functions related to the Co-op’s Member-Owner Program, as requested by the Membership Manager. The Membership Program administrative assistant will promote and facilitate an equitable and productive experience for Member-Owners through detail-oriented and timely completion of administrative tasks, and knowledgeable adherence to written HWFC values. Demonstration of member-positive ideologies, and maximization of opportunities for member-owners and owners to invest time and participate in HWFC store activities and governance functions. Support and promotion of Anti-Racist and Diversity, Equity, and Inclusion agendas across HWFC is required.

Job Responsibilities
- In-depth knowledge of and commitment to and upholding the Co-op’s Bylaws, Mission Statement, Statements of Conscience, Member-Owner Manual, Food and Product Manual, and Employee Manual
- Maintain confidentiality with owner information in the member program, and with passwords and programs housing owner and member-owner information
- Allow all duties of administrative MOs, and all MOs, to remain as duties of MOs while offering support and guidance when needed (in cases of absence or training new MOs)
- Assist with updating Constant Contact participant list as needed
- Help regularly update membership pages of the website for outdated information and inconsistencies
- Assist with maintaining membership communications throughout the store
- Maintain updated knowledge of regular Owner/Member-Owner-related administrative tasks such as recording of ownership interest payments; creation of new Owner profiles in member database and production of new owner cards/welcome letters; processing of Senior Discount applications; entering of data from Member-Owner missed punch forms; application of Member-Owner hours for orientations and customer service trainings in order to support and assist the administrative team of member owners who do these tasks.
- Assist with all administrative aspects of the membership program as requested by the Membership Manager, including running statistical reports, time investment reports including the no-check out report, membership binder entries and documents at the customer service desk, preparing orientation materials, ownership refund forms, business shopper binder and data, as well as other administrative tasks as assigned by the Membership Manager.
- Assist with maintaining and updating comprehensive standard operating procedure documents for all administrative tasks
- Assist with research and evaluation of software and/or membership program updates as requested by Membership Manager
- Assist with HWFC website Coop Mail answering questions and forwarding emails to appropriate departments
- Maintain consistent processes with Membership Manager in order to help maintain consistent and predictable implementation of the HWFC Membership Program.
- Be available for Membership Meetings and help coordinate logistics for meetings at the request of the Membership Manager
- Other duties as assigned
