Office Coordinator & Team Assistant
This position is perfect for an individual who is (1) passionate about fostering a positive and energetic workplace environment; (2) interested in working as a benefit-eligible employee at 32 hrs/week, Monday through Thursday; (3) able to work onsite Tuesday through Thursday at our downtown Atlanta office located at 84 Walton Street NW, Atlanta GA 30303; and (4) has experience in greeting people, making them feel welcome, and excited to coordinate facilities issues, and supporting leadership teammates with various ad hoc requests. The incumbent will report into the lead Executive Administrative Assistant at our corporate HQ in Australia, with a bold-dotted line to local leadership.
Primary Responsibilities:
The position requires proficiency in facilities and administrative assistant support experience to ensure smooth operations of the company’s Atlanta office, providing support for facilities-related needs in addition to supporting general administrative needs of regional leadership. KEY: make things run smoothly and have fun while doing so!
Deeper Dive Key Responsibilities:
- General office coordination: act as “first face” of the company, greeting and assisting visitors; serve as primary contact for office-related requests and inquiries; manage mail, office orders and coordination (e.g., kitchen beverages and snacks, office supplies); primary POC with building management for facilities-related items (e.g., cleaners, security, parking, maintenance, etc.).
- Team Assistance: organize and manage events and functions including monthly Town Halls (catering and coordination); supporting regional leadership with travel plans and calendar and expense management; serving as note-taker taking meeting minutes at leadership meetings to include capturing action items for individuals.
- HR administrative support: coordinate onboarding and offboarding processes in partnership with the People & Culture teammate; serving as a member of the Culture Committee to plan and organize events that inspire and engage the employee experience.
- Dog friendly: we allow dogs to hang out with us, so you have to be OK with dogs roaming, and be OK with offering treats on a walk-by basis.
Essential Skills & Experience:
- 3+ years in administrative and/or facilities coordination experience
- Positive attitude and ‘can do’ attitude with collaborative approach to communications with stakeholders (e.g. employees, vendors, clients)
- Comfortable and confident working in a highly frenetic environment (think “start up” on steroids!) with the ability to calmly juggle multiple tasks (i.e., pivot on a dime but don’t freak out – we’ll get through this together!)
- Self-starter who can work independently – of course, with teammate support and guidance
- REQUIRED: proactive and positive attitude – other skills can be taught! 😊

Salary Range: USD $47,000 - $50,000 (at 32 hours/week)
