Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and have experience in managing office functions, including human resources, budgeting, and vendor management. This role requires excellent communication and organizational abilities to ensure the smooth running of the office environment while supporting staff and enhancing productivity.
Responsibilities
- Manage daily office operations, ensuring efficiency and effectiveness in all administrative tasks
- Supervise office staff, providing training and development opportunities to enhance team performance
- Oversee scheduling and calendar management for executives and team members
- Handle payroll processing and maintain accurate bookkeeping records
- Coordinate event planning and logistics for company meetings and functions
- Manage vendor relationships, negotiating contracts and ensuring quality service delivery
- Maintain filing systems, ensuring all documents are organized and easily accessible
- Implement office policies and procedures to improve workflow and productivity
- Provide clerical support as needed, including answering multi-line phone systems with professionalism
- Assist in human resources functions, including recruitment, onboarding, and employee relations
Qualifications
- Proven experience in office management or a similar administrative role
- Strong supervisory experience with a focus on team management and development
- Proficiency in QuickBooks for financial management tasks
- Excellent organizational skills with the ability to manage multiple priorities effectively
- Strong communication skills, both verbal and written, with a focus on phone etiquette
- Experience in budgeting, payroll processing, bookkeeping, and vendor management
- Familiarity with medical office management is a plus but not required
- Ability to work collaboratively within a team while also being self-motivated
