The Event and Scheduling Manager oversees the school-wide space reservation system, which includes making sure space is available for high profile events, rearranging space requests and communicating with end-users, consulting with end-users on space alternatives, and understanding and communicating space limitations and configurations.

Job Description

The Event and Scheduling Manager in the School of Engineering and Applied Science will oversee the school-wide space reservation system, which includes making sure space is available for high profile events, rearranging space requests and communicating with end-users, consulting with end-users on space alternatives, and understanding and communicating space limitations and configurations. Coordinate and schedule a high volume of both large and small events for the school. Duties include but are not limited to: meeting with clients to define expectations and requirements, developing and reviewing floor plans, and conducting pre-event meetings and walkthroughs. Coordinate event support services, which includes, planning security logistics; ensuring housekeeping coverage; working with internal and external vendors to secure event rentals, technology, and other needed materials. Working across and with multiple departments, this role will help plan high-profile events of significant importance to the school's mission and identity which include, Commencement, PennApps, New Student Orientation, and academic conferences. This position will be required to maintain flexible working hours including nights & weekends.

Qualifications:
Bachelor's Degree and a minimum of three years of related experience or an equivalent combination of education and experience; experience in event management in a higher education or hospitality environment with a focus on event coordination and space scheduling strongly preferred. Proven ability to manage multiple tasks simultaneously while working with a diverse constituency. Demonstrated problem solving and decision-making skills in an event coordination capacity where high- level customer satisfaction is required. Ability to smoothly negotiate unanticipated changes and needs in a timely fashion. Must have excellent organizational, interpersonal & communication skills. Superior dependability, judgement, and resourcefulness. Proficiency in Microsoft Office applications. Experience in utilizing space scheduling software. Project management experience is a must. Proven experience managing events with over 500 attendees. Accreditation with a Professional Event Management Association is preferred. Comfort working in a large open office.
