HR / Finance Assistant
Under the supervision of the Department Manager, the HR/Finance Assistant will provide administrative support to the HR/Personnel Coordinator, including but not limited to UCPath, I9 Tracker, the Oath and Patton process, and will maintain the department personnel files. The HR/Finance Assistant will processes all Bruinbuy and Travel Express transactions, and provide administrative support to the Finance Coordinator.They will assist with general office duties, inquiries; answers telephone calls and provides information and refers calls; they will maintain the general appearance of the Main Office. Takes and delivers messages; processes incoming/outgoing mail and packages when needed. Schedules appointments and maintains calendars; performs general administrative tasks, and runs errands. The appointee provides support with academic program and events planning. Gathers data for various projects; submits requests for equipment maintenance and repair; contacts vendors and interacts with other campus units on behalf of the Department; and assists with special assignments as needed. The HR/Finance Assistant is an integral member of the Department's administrative team whose support is essential to the successful administration of the Department of Geography.

Qualifications for Position
Ability to answer telephones in a courteous and professional manner, and to interact effectively with individuals from various social, cultural, ethnic, and professional backgrounds.
Ability to speak clearly, distinctly and diplomatically to obtain or relay concise, relevant information while using correct vocabulary and grammar.
Listening skills to accurately understand instructions and to carry out related tasks.
Interpersonal skills to communicate and interact effectively, with faculty, staff, students, vendors and the public.
Ability to maintain confidentiality of information with tact and discretion.
Excellent writing, editing, and grammatical skills to compose, edit, and proofread documents
Demonstrated skill with computers and various software applications, including MS Office (Word, Excel and Outlook) to create word processing, database, and spreadsheets; experience with Windows operating system.
Skill in completing projects on time with frequent interruptions and competing priorities.
Skill in organizing and maintaining orderly office records and program files.
Typing and word processing skills to prepare documents with speed and accuracy.
Working knowledge of University procedures regarding facilities, maintenance, telecommunications, and supply/equipment ordering.
Ability to lift up to 20 pounds.
Working experience with Bruin Buy, UCLA Travel Express expense reporting system, UCPath, I9 Tracker and other University systems as needed.
