Location: 195 Montague Street, 8th Floor.

Position Summary
:

Graham Windham is looking for an organized, outgoing Receptionist/Office Assistant to operate as a temporary Concierge at Graham’s new Program Site, 195 Montague Street. This individual will welcome staff, families and other visitors into the site, help orient them to the various services and supports at the center and connect them with relevant staff where necessary. This person will regularly walk through the center, setting up and maintaining amenities such as tea, coffee, water, snacks are in place and well presented, generally reviews the site for cleanliness and that it is generally organized. This person will also assist, when necessary, with some administrative duties including asking staff to sign-in when arriving or departing from the site, answering calls and taking messages, assist with invoicing on center-wide supplies

Customer Service Responsibilities:

  • Warmly greet staff, families and visitors, request their sign-in and direct them to the area or person at the center who can meet their need.
  • Checks in on Robin reservations for staff, requests reservations be made prior to entering the center or that the staff has a plan to locate themselves at a non-reservable seat.
  • Be fully knowledgeable of the programs, supports and services at the Center to be able to connect individuals/families to the correct support.
  • Set-up and maintain amenities including coffee/tea/snacks, including ensuring adequate supply of these are consistently available.
  • Communicate regularly with Center leadership, facilities and operational staff, and security to make sure that the center is always welcoming, organized, clean and safe.


Facility Services Responsibilities:

  • Checks in regularly on the conference room, flex room, wellness room, phone booths and visiting space. Ensures that they are appropriately stocked, organized and clean.
  • Checks in on the kitchen, pantry and bathrooms. When spaces need cleaning or restocking, reaches out to building maintenance to address immediately.
  • Takes note of issues raised by staff or families – for instance, furniture concerns or needs, technology issues, environmental concerns. Encourages staff to use the Help Desk to record concerns, but also takes note of the concerns and reaches out to building maintenance, facilities and operations or IT if the issue is non-routine and needs to be addressed immediately.
  • Assist programs with preparation of outgoing mail.
  • Accepts and signs for packages and other deliveries.

Qualifications:

  • High school diploma / GED required, College/Some College a plus.
  • Administrative or clerical experience preferred
  • Computer proficiency with Outlook, Word, Excel and Google Docs
  • Must be vaccinated
  • A proven capacity to work inclusively and collaboratively with program, fiscal and administrative leadership, as well as external stakeholders,
