This position will primarily be additional support for our Receptionist for phone call overflow and records management. They will also be assisting the Practice Manager in various front office tasks such as inventory receipt, minor accounting tasks and facility organization.

This position requires a positive, energetic person with an upbeat personality who is willing to take initiative to better their own work experience and environment while maintaining the ability to represent our team at Integrative Ophthalmology for Pets well. For this position it is essential that they can love what they do, have fun and take pride in the results of their hard work.

Because we are an ever-growing practice, they should be adaptable to change and be able to effectively communicate if things aren’t working as expected. We need someone who will be committed to the needs of our growing practice and is open to communicating their ideas while being able to take direction in a constructive manner. They need to be self-motivated, detailed oriented and excited to work with a variety of personalities (coworkers and clients included.)

RESPONSIBILITIES – the ideal candidate should possess the following skills and be able to perform the following tasks:

  • Must be able to maintain a dependable attendance record and is punctual.
  • Should be computer/tech savvy and able to utilize Microsoft Office with ease.
  • Have high-level multi-tasking skills and the ability to handle a high volume of incoming calls and emails
  • Always greet clients (both returning and new) in a calm, cheerful and professional manner, while being compassionate in every situation
  • Always use proper grammar and email etiquette with correct spelling.
  • If checking in pet parents and their pets, exhibit great teamwork skills by either rooming them (if instructed) or notifying all responsible parties of their arrival.
  • If scheduling appointments, ensure clients fill out and sign all appropriate documentation prior to their upcoming appointments.
  • Help maintain all patient related documents and photos, including updated medical records and communication records for all client correspondence.
  • Handle all financial situations in an honest and compassionate way. If dealing with a financially challenged clients, communicate alternative options such as CareCredit and assist them through the process.
  • Handle both credit card and cash transactions efficiently and accurately
  • Maintain cleanliness of the lobby and corresponding hallway throughout the day, ensuring that surfaces are clean and orderly. They will be responsible for cleaning up accidents in the lobby as well as other general housekeeping related tasks.


  • Have at least 1 year of Veterinary Hospital experience (experience in an Emergency clinic or Specialty hospital is a plus)
  • Have at least 2 years of Customer Service experience that includes setting appointments and handling multiple phone lines
  • Be able to speak, read and write fluently in English always using proper grammar and spelling. (Spanish is a plus, but not required)
  • Have a NON-veterinary related hobby (i.e. Disney Annual Passholder, Salsa dancer, Soccer enthusiast, Interests in Astrology, Movie buff, etc.)
  • Possess strong written and verbal communication skills, as well as mental reasoning and mathematics skills
  • Have a superpower or special skill (i.e. CareCredit Expert, Angry-Printer Tamer, Microsoft Office Wizard, Record-keeping Extraordinaire, Client Mind-reader, etc.)
  • Be tech savvy and a problem solver when things don’t work right (because technology isn’t always perfect)
  • Ability to be confident around all types of animals and client personalities (i.e. friendly, fractious, big, small, shy, nervous, etc.)
  • Type no less than 40+ WPM with minimal errors
  • Possess sufficient ambulatory skills in order to perform duties while in the hospital including the ability to manipulate (lift, carry, move) up to 50 lbs, walk, stoop, kneel, and crouch intermittently, and stand for long periods of time.
  • Willingness to learn, be guided, and pursue continuing education opportunities

Salary: $16.00 to $18.00 /hour
