Exciting opportunity at SIGMA Group! We are currently looking for an Accounting Assistant to join the team. This role will be responsible for assisting with the overall general accounting function, ensuring the accurate recording of accounting transactions related to daily operations, including Accounts Payable, Accounts Receivable, and bank activities
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Performing basic accounting procedures, e.g. A/R, A/P, time billing, P/R, G/L, tax payments and inventory control
- Processing daily Accounts Receivable (A/R) transactions with computer programs
- Communicating with customers to address any past due invoices on their account and providing weekly status updates to management
- Rental Equipment Invoicing & Returns
- Run credit checks for new rental applicants
- Create and send rental invoices twice a month
- Contact past due customers weekly (prepare weekly past due report for sales team)
- Create recurring transactions for new rentals/add rentals to active rental list
- Prepare buyout quotes and invoices
- Rental returns - create task in CRM and credit memo for rental deposit on all returns (remove customer from recurring template list)
- Removing sales tax from invoices using tax exempt documentation provided by the customer
- Resolving account discrepancies and overseeing collections
- Processing specific financial forms (e.g., tax forms, vendor information forms, etc.)
- Verifying transactions comply with financial policies and procedures established by the Company
- Entering Auction invoices into Accounting software
- Reconcile sales tax monthly
- Upholding professionalism by providing courteous customer service to visitors, clients, and vendors
- Provide backup to Accounting Assistant II; as needed
- Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or G.E.D. equivalent required
- Two or more years Accounts Payable (A/P), Accounts Receivable (A/R), and/or payroll experience required
- Equivalent combination of education and/or experience will be considered
- General understanding of accounting practices and principles
- Experience with automated accounting programs and systems
- High attention to details, ability to take directions, self-check and follow up on work
- Ability to apply discretion, trust with confidential company information
- Working knowledge of Microsoft Office (e.g., Word, Excel, Outlook) and/or Google G-Suite
- Excellent time management skills
- Ability to multi-task, prioritize, and meet deadlines
