GENERAL FUNCTION / SUMMARY
The Administrative Assistant, Private Lending supports the loan application process from submission to funding, ensuring accuracy and compliance. This role assists in coordinating with escrow and title companies, gathering required documentation, and maintaining records. The ideal candidate is detail-oriented, highly organized, and eager to develop expertise in private lending procedures and regulatory requirements.
MAJOR DUTIES AND RESPONSIBILITIES
Loan ProcessingDocumentation
- Assist in collecting, reviewing, and verifying loan application documents, including financial statements, credit reports, entity documents, and property appraisals.
- Support the preparation and submission of loan documents before funding, ensuring accuracy and compliance with company policies.
- Follow up with borrowers, life agents, and internal teams to obtain necessary information and resolve basic discrepancies.
- Maintain organized records of loan applications, approvals, and funding activities.
Funding CoordinationCommunication
- Help coordinate communication with escrow and title companies to facilitate loan closings.
- Assist in verifying closing requirements, coordinating document signings, and ensuring timely funding.
- Ensure loan documents are properly executed and returned before disbursement of funds.
- Provide status updates to internal teams and stakeholders.
ComplianceRisk Management
- Support compliance with private lending regulations and internal policies.
- Help monitor borrower and investor compliance with loan conditions before funding.
- Assist in audits, reporting, and risk assessments related to loan processing.
ReportingRecord-Keeping
- Track and update loan processing timelines and outstanding conditions.
- Maintain accurate records of investor/lender commitments and borrower payments.
- Assist in preparing reports for management to identify process improvements.
TrainingSupport
- Learn and follow established loan processing workflows and documentation requirements.
- Provide basic support to life agents and internal staff on loan-related processes.
- Identify opportunities to enhance efficiency and customer satisfaction.
BASIC QUALIFICATIONS
- High school diploma or equivalent required; Associate or Bachelor's degree in Finance, Business Administration, or a related field is a plus.
- 1-2 years of experience in loan processing, mortgage lending, escrow, or financial services preferred.
- Show strong interest in the financial, mortgage or lending industries.
- Familiarity with lending guidelines, escrow/title processes, and funding coordination.
- Proficiency in Microsoft Office Suite and loan processing software is a plus.
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Good communication and customer service skills.
- Willingness to learn and develop expertise in private lending procedures.
