Position Summary
The Administrative Coordinator serves as the backbone of our administrative operations, providing high-level support to executive leadership, managing office systems, and ensuring seamless communication across departments. Essential Duties
- Executive & Administrative Support
- Provide direct administrative support to CEO, CPOO, CAO, and department directors
Office & Systems Management
- Maintain organized filing systems (electronic and physical)
- Manage office supplies, equipment maintenance, and workspace logistics
- Create and update organizational forms, manuals, and onboarding materials
HR & Board Coordination
- Support HR functions including onboarding, training documentation, and employee records
- Assist with background checks and compliance tracking
- Coordinate Board of Directors and committee communications, meetings, and documentation
Financial & Compliance Support
- Track and document donations and submit records to accounting
- Ensure adherence to financial policies and assist with audits and tax preparation
- Maintain compliance documentation and prepare for Peer Review
Stakeholder Engagement & Development
- Communicate with donors, volunteers, and stakeholders with professionalism and warmth
- Support donor stewardship and CRM data management
- Assist with grant management, reporting, and funder communications
Culture & Events
- Lead team appreciation efforts and internal engagement initiatives
- Plan and coordinate tours, retreats, and stakeholder events
- Coordinate schedules, meetings, and correspondence
- Assist with grant proposals, reporting, and contract management
Skills
- Proven experience in administrative coordination or executive support
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office and CRM systems
- Ability to handle sensitive information with discretion
- Experience in nonprofit or mission-driven environments preferred
Job Type: Full-time
Pay: $19.00 - $21.50 per hour
Expected hours: 40 per week
