Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be bilingual in English and Spanish and possess strong administrative and customer service skills. This role requires multitasking, handling sensitive information with discretion, and supporting various departments with a wide range of administrative tasks. Extensive experience with QuickBooks is must.
Responsibilities:
- Manage quickbooks day to day book keeping entries, cross checks, analyses, reconciliations and reports.
- Perform accurate data entry and maintain updated databases and spreadsheets
- Organize and manage both electronic and physical filing systems
- Answer and direct phone calls in a professional and courteous manner
- Manage calendars, schedule appointments, and coordinate meetings
- Provide administrative support across departments as needed
- Assist with accounts payable and basic bookkeeping tasks
- Maintain office supply inventory and place orders as necessary
- Run errands as required (valid Driver’s License is a must)
- Coordinate travel arrangements and accommodations
- Restock office areas and common spaces regularly
- Sort, distribute, and manage incoming and outgoing mail and packages
- Coordinate maintenance requests and facility repairs
- Complete and submit new client/vendor forms and applications
Qualifications:
- Bilingual (English and Spanish proficiency required)
- Strong phone etiquette and customer service orientation
- Prior experience in an administrative or clerical role preferred, use of quick looks si a must.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks preferred
- HR experience preferred
Exceptional organizational and multitasking abilities
- Knowledge of file management systems and office procedures
- Ability to maintain confidentiality and handle sensitive information with professionalism
Please note that this is not a dental receptionist position, but previous experience in a dental office or similar clerical role is a plus.

Pay: $35,000.00 - $39,000.00 per year
