Job Description
We are a small, yet busy office looking for a customer service-oriented Bookkeeper/Office Assistant who will be directly responsible for the day-to-day bookkeeping, accounts receivable, accounts payable, computer entries, bank deposits, reconciliations, and reporting. You will work to ensure accounts are accurate and that processes follow appropriate controls and standards. If you’re detail oriented, organized and enjoy working within a clear process, this is the position for you.
The candidate is required to perform, but not limited to the following:
· Processing of all check and credit card payments, which includes, database posting
· G/L coding, deposit of funds into bank and distribute the deposit log
· Receive and post payments, maintain customer information, and generate correspondence
· Help implement/maintain financial application like QuickBooks or something similar
· Make 30,60,90-day collection calls and prepare/mail 30, 60, 90-day collection letters
· Coding and posting of accounts payable invoices
· Calculate pay times for employees and submit individual times to the Payroll company
· Prepare weekly billing for mailing
· Manage phone calls and correspondence (e-mail, letters,packages etc.)
· Support general budgeting and bookkeeping procedures
· create and update records and database with personnel, financial and other data
· Track stocks of office supplies and place orders when necessary
· Submit timely reports and prepare presentations/proposals as assigned
· Assist colleagues whenever necessary
Qualifications:
- High degree of accuracy, keen attention to detail and demonstrably organized
- Experience with accounts payable, accounts receivable, payroll, inventory and general bookkeeping practices
- 2-3 years experience as bookkeeper in an office environment or commensurate education
- Proficiency in Excel, MS Office, and able to learn quickly to adapt to our specialized accounting system
- Familiarity with financial statements
- Able to multi-task and prioritize responsibilities
- Manage and process large volume of transactions efficiently and accurately
- Process oriented and extremely organized
- Exceptional customer service skills
- Strong verbal and written communication skills
- Experience in printing industry and able to work independently a plus
