Job Overview
Trinity Baptist Church is seeking a part-time Church Office Administrator to oversee the day-to-day administrative and financial operations of the church. This key role keeps the church office running smoothly, manages communications and records, and supports staff and ministry leaders so the church can carry out its mission effectively.
Duties
- Administrative Duties
- Maintain and update the church calendar
- Prepare and distribute the weekly church bulletin and digital communications
- Monitor and respond to church emails and phone calls
- Manage membership records, including new members, baptisms, and transfers
- Submit annual reports to the Southern Baptists of Texas Convention (SBTC)
- Order and track office, janitorial, and Connect Group supplies
- Manage church software (communications, notifications, online giving, and membership updates)
- Perform other administrative duties as needed to support the Pastor, staff, and church leadership
- Financial Duties
- Process accounts payable and receivable
- Maintain accurate financial records in QuickBooks and/or Realm
- Prepare regular financial statements for church leadership
- Track donations, pledges, and special contributions
- Assist with annual budget preparation and stewardship campaigns
- Process payroll and related tax forms
- Support audits and ensure ethical stewardship of church resources
Qualifications
- Education & Experience: High school diploma required; 2–3 years administrative or bookkeeping experience (church/nonprofit experience preferred)
- Technical Skills: Microsoft Office Suite, QuickBooks, and/or church management software (Realm preferred)
- Personal Qualities: Organized, detail-oriented, excellent communication skills, able to handle multiple priorities, and committed to integrity and confidentiality
- Preferred: Associate’s degree or higher, prior church office administration experience, and familiarity with SBTC reporting
Schedule & Compensation
- Hours: Part-time, 24–28 hours per week
- Compensation: Hourly, based on experience; paid biweekly
- Status: Non-exempt

- Church membership at Trinity Baptist is not required, but familiarity with a Baptist church context is encouraged
